Job Description
GENERAL PURPOSE
The Clerical Technician 3 – Nursing Supervisors position is responsible for providing Human Resources related clerical support to Gracedale Nursing Administration and Supervisors.
SUPERVISION RECEIVED
This position reports directly to the Director of Nursing or an Assistant Director of Nursing.
SUPERVISION EXERCISED
This position is not responsible for the supervision of other employees or functions.
ESSENTIAL DUTIES OF THE POSITION
Assists Nursing Supervisors with shift change reports and/or documents, and alerting staff of their assignments. Updates the daily hanging staffing sheet with each day’s staffing levels and changes sheet to reflect updates as they occur. Confirms shift coverage within each unit and updates daily schedule with staff assignments and any changes that occur during the shift. Records employee call outs accurately. Oversees compliance of call out books, no badge books, and agency books. Employee and staff signatures are entered and temporary badges are provided.
Runs the daily payroll report for the Nursing Supervisors and reconciles those reports every shift. Updates KRONOS as needed to reflect correct punches, department locations, out of class differentials, etc. Runs reports as needed for nursing leadership.
Changes employees’ schedules including adding and cancelling shifts, and inputting time off requests.
Maintains documentation in the office and Nursing library.
Maintains inventory of office supplies for all three shifts.
Opens service desk tickets for maintenance and IT requests for service.
Assigns Roam Alert tags for residents, and ensures accuracy of resident list. Issues tag readers for unit’s weekly checks, and accurately maintains supply of Roam Alert tags and bands.
Answers telephones and receives visitors. Provides exceptional customer service by effectively communicating with visitors, residents, County staff, and staff from other medical offices and agencies by telephone, email, or in person. Adequately resolves visitors’ issues, and/or directs visitors to appropriate staff able to provide assistance.
Establishes and maintains paper and electronic files as requested.
Composes correspondence using Microsoft Office and Outlook, or any other necessary applications.
Other projects as needed by Director of Nursing and/or Assistant Director of Nursing.
Interacts with and assists with clerical duties in other Gracedale departments as necessary.

REQUIRED MINIMUM QUALIFICATIONS
EDUCATION & EXPERIENCE- Completion of a high school, or general equivalency, diploma;AND
At least two (2) years of full-time general clerical work experience.
All employees of Gracedale Nursing Home will be required to attend Feeding Program training.
KNOWLEDGE, SKILLS, AND ABILITIES
Basic knowledge of clerical practices and procedures and the ability to use standard office equipment.
Knowledge of computers and computer software, including Microsoft Office applications, e.g. Word and Excel.
Excellent communication and interpersonal skills with the ability to listen effectively, respond appropriately and maintain mutual comfort level while relating to a diverse clientele, both verbally and in writing.
Skill in gathering information from and explaining procedural and/or processing requirements to visitors, callers, clients, members of the public and representatives from other offices both within and outside of Gracedale Nursing Home.
Excellent time management, prioritization, and multitasking skills, along with the ability to maintain sufficient flexibility to respond to immediate demands.
Ability to operate a computer and secure information from established electronic sources.
Ability to establish and maintain filing and other recordkeeping systems.
Ability to preserve confidential and sensitive information.
Ability to establish and maintain effective working relationships with other employees, departments, residents, and family/visitors.
Ability to maintain composure and tactfully handle sensitive situations.
Ability to read, write, speak, understand, and communicate in English to perform the duties of this position.
Ability to add, subtract, multiply and divide in order to perform the functions of the position.
TOOLS AND EQUIPMENT
Telephone, computer (including Microsoft Office applications and other specialized software), calculator, adding machine, fax machine, copy machine, scanner, and other office equipment.
PHYSICAL DEMANDS
While performing the duties of this job, the employee is frequently required to walk, sit, stand, talk or hear. The employee must frequently lift and/or move up to twenty-five (25) pounds. I. Medical Insurance
Coverage begins for the employee the first of the month following full-time employment for employees and their eligible dependents. Cost to the employee to participate in the plans varies by the coverage selection and number of dependents; and may be subject to collective bargaining, if a union member. The employee may also elect to opt out of the County's medical insurance if proof of coverage through the spouse's employer is provided. Under this arrangement, the employee is provided with an annual $1,500.00 opt out payment.
II. Vision and Prescription
Coverage begins for the employee the first of the month following full-time employment for employees and their eligible dependents. Copayments may vary, subject to collective bargaining, if a union member. Coverage under the vision plan varies and depends upon the employee's choice of doctor and frame selection.
III. Dental Coverage
Coverage begins for the employee the first of the month following full-time employment for employees and their eligible dependents. Copayments may vary, subject to collective bargaining, if a union member.
IV. Life Insurance
A life insurance policy is afforded to full-time employees beginning on the first day of employment, unless specified differently in a collective bargaining agreement. It remains in effect as long as the employee is actively employed and terminates upon resignation or retirement. $20,000 is afforded to all eligible employees.
V. Retirement
All full-time employees and part-time employees working more than 1000 hours per year qualify for County of Northampton retirement benefits, in which employees must contribute 5% of their earnings, and employees may choose to add additional voluntary contributions, not to exceed an additional 10%. Additionally, employees may participate in an optional deferred compensation plan [457(b)] which may provide present tax advantages and future retirement savings. Such arrangements are made directly with the providers and the County will administer payroll deductions only.
