Maintains office functions and communications/dispatch for Corporate Engineering including maintenance of the Engineering information system.;
Requirements:
+ Minimum 5 years experience in related field
+ High school diploma
Major Responsibilities:
1. Manages all aspects of the Engineering Information System: entering data; creating reports; monitoring and completion of work order/PM requests; and maintains an accurate and current equipment inventory file. Performs system troubleshooting; researching issues; consulting with Engineering software contractor for resolution and/or direction.
2. Performs secretarial duties related to Engineering management and maintains current; accurate filing system for all Engineering documentation. Understands regulatory requirements related to Life Safety equipment and documentation. Forwards all completed and stamped work to Manager for review/approval for timely entry into the Life Safety documentation binders.
3. Interacts daily with Engineering staff performing radio dispatch accurately and professionally.
4. Interacts with all staff; answers department phones/email; accesses and reviews work requests determines urgency/priority and coordinates response and/or consult for work order assignment.
5. Communicates to all shifts vendors scheduled for work in the facility and/or unsolved/open issues from other shifts. Communicates to manager all unresolved Life Safety issues.
6. Understands and responds to all facilities emergencies acting in the role of communications coordinator.
7. Performs month end system close and forwards all reports and documentation as specified and required.
8. Oversees department scheduling to ensure schedule coverage 24/7/365 including weekend rotations.
9. Performs contractor/vendor orientation and maintains related documentation.
10. Coordinates and maintains requests for keys and associated approvals.
