Job Description
HSA is seeking an Academic Scheduler (Program Coordinator) to join their team!
Reporting to the Administrative Assistant Supervisor, this individual is primarily responsible for the planning, arranging, coordinating and scheduling of Health Sciences courses, course-related events, and other Health Sciences activities. This position will contribute to the Instructional Support mission by developing an environment of continuous improvement, pursuing innovation, and delivering excellent customer service. The Health Education Resources Coordinator will work with internal and external event coordinators, planners, and presenters to arrange facilities, schedule resources, and assist in the billing process.
Instructional Support provides frontline customer service to the Health Sciences Community, which includes course and resource scheduling, classroom technology and equipment maintenance, and laboratory support services. Our mission is to cultivate the Health Sciences teaching and learning environment by assessing customer needs to deliver innovative and proactive services.
Duties & Responsibilities
Health Sciences Course and Activities Scheduling
+ Independently organize and perform complex scheduling for UW Health Sciences courses; determining utilization and priority requests within the confines of limited inventory
+ Support scheduling of the Health Sciences Simulation and Clinical Skills Labs, Standardized Patient Program and other activities
+ Make requested changes to existing courses on the Time Schedule in regards to rooms, meeting days/times, credits, enrollment requirements/exclusions, enrollment limits, time masks, grading systems, instructors, course comments, etc.
+ Act as primary point of contact for and liaison with Health Sciences departmental and program course coordinators on a range of scheduling needs related to academic course offerings and course breakouts. This includes managing the quarterly Course Scheduler’s Meeting, sending out frequent updates/communications to contacts and participating in 1:1 meetings.
+ As part of a campus-wide team of schedulers, assist in the planning, development and implementation of course scheduling updates and requirements.
+ Communicate Health Sciences scheduling data to administration, staff, and/or faculty
+ Create reports such as utilization reports, heat maps, and other data reports for course scheduling and tracking unit metrics
+ Perform or coordinate other course-related support services.
Administrative and Instructional Support Tasks
+ Assist in managing course scheduling resources such as the Course Scheduling Procedures in SharePoint and FreshDesk Ticketing system as well public policies and resources for departmental coordinators on the website
+ Assist with onboarding new departmental course coordinators to the Universities scheduling processes
+ Update forms as necessary to collect relevant scheduling information
+ Respond to general questions in Classroom Services ticketing queue and assist with other general office duties
+ Assist with furniture setups, basic A/V troubleshooting, and other maintenance/support of classrooms as necessary
Minimum Qualifications
High school graduation or equivalent AND two years of experience involving complex scheduling such as course/curriculum coordination, event scheduling, etc.
Equivalent education and/or experience may substitute for minimum qualifications except when there are legal requirements, such as a license, certification, and/or registration.
Desired Qualifications
+ Excellent communication and organizational skills
+ Experience working with Microsoft products (i.e. Excel, SharePoint, Teams), Google Docs or other collaboration software.
+ Experience working in an academic environment.
+ Experience with event or course scheduling.
+ Experience using 25Live or 25Live Pro scheduling software, UW Student Database, Time Schedule Construction and Maintenance systems, Canvas, MyPlan, and/or Panapto.
+ Enthusiasm and proficiency with various computer software and systems including but not limited to databases, scheduling, ticketing systems, and tracking inventory.
+ Familiarity with both in-state and fee-based program operational procedures.
+ Knowledge of basic Audio / Visual Systems
+ Experience working in an academic environment
+ Demonstrated skill at communicating with diverse set of students, staff, faculty, and the public.
Conditions of Employment:
+ Working Schedule Monday – Friday, 8:00am – 5:00pm
+ Ability to lift/move up to 50 lbs. may be required
+ Walking to multiple buildings and floors may be required
Compensation, Benefits and Position Details
Pay Range Minimum:
$46,332.00 annual
Pay Range Maximum:
$61,920.00 annual
