Responsibilities:
GENERAL PURPOSE
Provides administrative support within the Division of Supportive Care in Cancer, Department of Surgery, for three faculty members. The Administrative Coordinator encounters a wide range of situations in daily work and is expected to function with minimal direction, exercising considerable independent judgment and discretion. This role requires strong time management skills, including the ability to prioritize and follow up on tasks effectively.
The position is responsible for providing extensive support to assigned faculty and requires a thorough knowledge of University policies, procedures, and practices. The ideal candidate will possess substantial administrative experience and the ability to effectively balance multiple responsibilities while adapting to shifting priorities in a large, fast-paced environment.
Receives general supervision from the Division Business Administrator II.
ESSENTIAL FUNCTIONS
+ **Provide administrative clerical assistance to the academic and research efforts of assigned faculty:**
+ Composes and types correspondence, performs computer searches.
+ Manages calendars, schedules meetings, tracks and reminds assigned faculty of due dates.
+ Relay and anticipate faculty instructions, preferences, and concerns.
+ Obtain reports or recommendations as needed, and ensure relevant stakeholders are informed of decisions.
+ Manage tracking and renewal of professional organization memberships.
Document Preparation, Editing & Compliance
+ Compile, edit, and check materials for accuracy for reports, grants, correspondence, publications, and presentations.
+ Assist with preparing PowerPoint slides, scientific papers, presentations, and related documents.
+ Prepare, maintain, and update essential faculty documents, including: CVs, NIH biosketches, Other Support, mentoring tables, grant and funding tables, and Ongoing projects tables.
+ Anticipate faculty needs and gather background materials for decision-making and conferences.
Travel & Reimbursement Administration
+ Coordinate all travel arrangements for faculty.
+ Process travel reports and requests for mileage reimbursement, registration fees, and related expenses.
+ Interface with outside organizations to facilitate invited lectures and speaking engagements.
Lab & Program Operations Support
+ Provide administrative support to ensure smooth lab operations.
+ Organize student programs and assist lab members with administrative tasks.
+ Coordinate with University service departments for event support.
Other Duties

QUALIFICATIONS
REQUIRED
+ High School diploma or equivalent and 2 years of relevant experience
+ Or equivalent combination of education and experience
PREFERRED
+ Proficiency with Microsoft Office software, including Outlook.
+ Access, Word, Excel, and PowerPoint.
+ Knowledge of University accounting system, institutional and sponsored policies and practices, particularly related to allowable and unallowable costs.
+ Excellent attention to detail, organizational and interpersonal skills required, with the ability to work in a team environment.
+ Excellent communication skills, including written communication, and willingness to quickly learn and adapt to new systems and changes in institutional priorities and policies.
+ Experience with Workday, UKG, academic CVs, NIH biosketches, NIH grant components, and submissions
