Koniag Professional Services LLC is seeking a highly organized and customer-focused Lead Account Manager to serve as the centralized point of contact for scheduling and managing medical examinations for federal agencies. This role requires exceptional attention to detail, strong communication skills, and the ability to manage complex contractual relationships while ensuring compliance with all federal regulations and standards.
Essential Duties and Responsibilities:
Contract Management and Administration:
+ Serve as the primary liaison between federal agencies, healthcare providers, and internal teams
+ Successfully manage contracts ensuring all deliverables, professional services, and contractual commitments are delivered on schedule and within budget
+ Work with representatives from Human Resources, Accounting/Payroll, Contracts, and other departments as appropriate
+ Demonstrate independent problem-solving and decision-making capability regarding contract staff conduct or performance, funding, redirection of effort, scope creep, contract modifications, and invoicing issues
+ Understand and apply quality assurance and risk mitigation strategies to minimize contractual risks
+ Support timely and accurate preparation of invoices and collections
+ Regularly update Program Manager on contract performance
Scheduling and Coordination:
+ Act as the centralized point of contact for scheduling exams for federal agencies
+ Schedule applicant, annual, overseas deployment exams, and psychological evaluations
+ Clearly communicate exam dates and times to agency district POCs
+ Work in vendor repository to request exams for federal agencies and applicants
+ Track contract deliverables to ensure they are met or exceeded
+ Ensure exam dates, times, and locations are within the scope of the contract
Quality Review and Compliance:
+ Provide quality review of all medical exams and work with private provider vendors when discrepancies are noted
+ Evaluate the quality of medical examinations to determine if exams meet all client and jurisdictional standards
+ Monitor provider performance metrics, including timeliness and documentation accuracy
+ Support audits, corrective action plans, and quality assurance reviews
+ Maintain all required records in compliance with HIPAA and federal privacy standards
+ Monitor network capacity and identify geographic coverage gaps
Reporting and Documentation:
• Invoice exam components monthly and ensure invoices to customers are accurate
• Responsible for ensuring accurate audiogram results are keyed into the audiology software program
• Maintain spreadsheets to track scheduled exams for each agency district
• Prepare regular status reports and dashboards for leadership and Government Customer
• Track compliance percentages, turnaround times, and performance trends
Customer Relationship Management:
+ Develop and maintain strong, long-lasting relationships with federal agency contacts
+ Ensure timely and successful delivery of employer solutions according to customer needs and expectations
+ Clearly communicate progress of monthly/quarterly initiatives to internal and external customers
+ Manage highly sensitive requests and issues from federal agencies
+ Address provider concerns and coordinate solutions with internal teams
Training and Development:
+ Assist with development and implementation of training for specific exam requirements to the national network of private providers and subcontractors
+ Develop workflows, SOPs, and provider toolkits
+ Work with Audiologists and Reviewing Medical Officers to ensure document accuracy
Supervisory Responsibilities:
+ Supervise Account Manager(s)
Qualifications:
Required:
+ Bachelor's degree from an accredited college or university
+ 2-4 years of experience managing multiple projects/programs with emphasis on outstanding customer satisfaction
+ Excellent written and verbal communication skills
+ Technical/functional expertise in Electronic Medical Records (EMR)
+ Demonstrated ability to analyze, monitor, and proactively facilitate improvements based on contract requirements and performance metrics
+ Ability to read, write, speak, and understand English at a level commensurate with position responsibilities
Preferred:
+ Experience in healthcare administration or medical scheduling
+ Knowledge of occupational health regulatory requirements
+ Experience working with federal agencies
+ Familiarity with HIPAA compliance and federal privacy standards
Working Conditions:
+ Professional office environment
+ May require occasional travel
Reporting Structure:
+ This position reports directly to the KGS Program Manager.
