The Department of Milne Library, Information Literacy & Academic Engagement (ILAE) at SUNY Oneonta invites applicants for the position of Office Assistant 2 (Keyboarding) (NY HELPS). The ILAE department is responsible for library instruction, and research and reference services.

Key Responsibilities
The Office Assistant 2 (Keyboarding) (NY HELPS) position will provide office support and clerical work to meet the requirements of the department. Such work may consist of but is not limited to:
+ Answering questions and providing information to various parties regarding agency activities, transactions, and procedures; referring inquiries as necessary.
+ Operating various communication systems such as telephones and computers and keeping records of such communications.
+ Assisting in gathering, compiling, and preparing data from various manual or automated sources for reports, publications, and official communications, including creating graphs, charts, tables, and other visual aids to effectively display information across established platforms and authorized publications.
+ Preparing routine reports or assisting others in the preparation of reports, following established guidelines.
+ Maintaining, updating, and correcting records and files.
+ Performing various clerical or office assistance tasks such as scanning documents and verifying accuracy of data from scanned documents.
+ Reviewing forms and applications and making appropriate determinations.
+ Coordinating arrangements for meetings, courses, and other gatherings, including arranging rooms, taking attendance, and ensuring that appropriate materials and equipment are available.
+ Designing clerical processing procedures.
+ Receiving, screening, reviewing, and verifying forms, and other documents for completeness, content, and accuracy.
+ Supervising other lower-level staff, such as student workers, and/or perform more complex clerical processing and office support tasks requiring substantive knowledge of the program area.

Competitive Qualifications:
The successful candidate must be reachable on the full-time, permanent Civil Service list for Office Assistant 2, have held the permanent title of Office Assistant 2 in the past or be eligible to transfer into the title.
Non-Competitive Qualifications:
This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS). To be considered for appointment through NY HELPS, candidates must meet the non- competitive minimum qualifications for this position:
Minimum Qualifications:
+ One year of clerical experience
Preferred Qualifications:
+ Face-to-face customer service experience
Additional Information:
This is a full-time, permanent position.
For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply.
At a future date (within one year of permanent appointment), it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified.
