**Job Summary** **:** The Accounts Payable Representative II Merchandise Payables role is responsible for reconciling various merchandising A/P vendor accounts in order to ensure that invoicing is appropriately recorded in the P&L and vendor suppliers are paid based strictly upon established terms and conditions.
Principal Duties:
+ Analyze and reconcile assigned weekly merchandise purchases against statements, as well as assisting in reconciling problematic vendor situation as they occur. Identify any variances and communicate discrepancies to the appropriate parties.
+ Identify variances between store receipts and invoicing. Research variances and collaborate with vendors directly or with Marketing. Strat Sourcing, and Master Data to ensure that quantity issues or pricing discrepancies are reconciled and resolved in SAP.
+ This research could include reconciling outstanding Proof of Deliveries, researching SAP pricing conditions, inquiring and tracing first cost, understanding unit of measure, and researching contractual requirements
+ Additional research could also include auditing weekly store goods receipts against supporting documentation and resolving any problems with store personnel and with Inventory Accounting.
+ Prepare and process AP adjusting entries to correct payment amounts and store profit and loss statements. Perform audit of payments to vendors on a weekly basis per current procedures.
+ Prepare weekly proof of delivery analysis for each assigned vendor. Utilize vendor relationships to handle all related vendor issues. Ensure all vendor communications are addressed in a timely, accurate and professional manner.
+ Clear vendor accounts in SAP by matching vendor sweep payments with liability created from Fintech. Verify payments made by treasury and match the cleared invoice report in SAP.
+ Review bi-weekly A/P Aging report, for specific vendor accounts, and keep vendor payments current (per individual contract terms). Present current issues to the team.
+ Assist and support the weekly and period end accounting close through the preparation of adjustments, reconciliations and supporting schedules for assigned vendors. Ensure assigned vendor accounts are reconciled in a timely and accurate manner. Provide material variance explanations to various business partners.
+ Perform vendor expense analysis for various periods to identify unexpected discrepancies and proactively communicate changes in volumes, rates, freight, etc.
+ Perform special projects (analysis, reports, etc.) and other duties as assigned.
+ Attend specific vendor meetings, in addition to coordinating meetings with all necessary parties if required.
+ Assist in the training of Merchandise Payables associates. Provide feedback for interim and annual performance reviews.
Essential Functions:
+ Proven ability to work independently and collaboratively in a team-oriented environment
+ Strong verbal and written communication skills, with regular interaction across Store Operations and external vendors; demonstrates initiative and follow through
+ Excellent customer service skills with a focus on responsiveness and professionalism
+ Self-directed and capable of performing effectively with minimal supervision
+ Strong attention to detail and organizational skills
+ Reliable self-starter, abile to manage a constant workload and meet weekly deadlines in a fast pace environment.
Basic Qualifications:
+ Associates degree in Accounting or Business preferred
+ 2-3 years of experience in A/P, A/R or applicable general ledger accounting positions
+ Proficient in Microsoft Office Suite and other PC-based applications within a Windows environment
