Scope of Position
Oversee the day-to-day quality and quantity of work processed by the team. Drive team development through a strong focus on operations, systems, and culture.
Major Duties and Responsibilities
Operations
• Assist in creating DLSOPs and transitioning new clients within the team.
• Review existing DLSOPs periodically for accuracy; update or coordinate updates with agents as needed.
• Utilize reports, Workboard, and desk checks to ensure timely file logging, entry filing, and billing. Key reports include: CHB Non-Consol, Not Billed Report, ESP No DXV, Census Warning Report, and Weekly Scorecard.
• Monitor EDE and IDMA reports to ensure timely action on processed files.
• Ensure compliance with local Customs regulations and Partner Government Agencies (PGA).
• Maintain adherence to Operational Process Standards and client SOP requirements.
• Ensure operations align with Expeditors’ policies and procedures.
• Deliver exceptional customer service to clients.
• Allocate workloads within the team and communicate capacity or staffing needs to management.
• Ensure deadlines are met. KPI examples: - Air Keying (CEK) within 24 hours of DXR or AME (when UCE is present) - Ocean Keying (CEK) within 48 hours of DXR or AME (when UCE is present) - Ocean entry filed within 48 hours of CEK (COB/IT Date/ANR)
• Ensure timely clearance and delivery of shipments.
• Process Customs entries for assigned clients and serve as backup for team members.
• Assist management with Workboard oversight, productivity, and participation in calls or pilot programs.
• Support problem-solving and customer service within the department.
• Assist with entry audits and corrective actions.
• Ensure SOP’s are maintained by team members.
• Perform all functions of Brokerage Agents and Leads, including entry processing, KPI compliance, and interaction with Customs and PGAs.
• Ensure cross-training for all team members and assign primary and backup agents for each client. Finances
• Ensure adherence to company credit procedures and confirm team compliance. For example, obtain approval and enter OLA for shipments over credit limits before transmitting entries.
• Review rate schedules for accuracy.
• Use reports to ensure timely billing.
• Monitor and improve departmental cost control.
• Track overtime usage.
• Assist management in reviewing profitability and productivity to eliminate waste.
Sales
• Support management and sales in securing new busines.
• Identify opportunities to grow existing accounts.
• Enter all client feedback (complaints, compliments, opportunities) into CRM promptly and action assigned items.
People
• Identify, develop, and mentor your No. 2.
• Maintain high team morale and minimize unplanned turnover.
• Train, motivate, challenge, and mentor employees.
• Conduct routine team meetings to share updates and regulatory changes.
• Prepare annual employee reviews and three employee check-in meetings yearly.
• Ensure all team members meet or exceed training requirements and deadlines.
Systems
• Ensure all operational tools are being properly used.
Culture

Qualifications, Experience, and Education
• High school diploma or equivalent.
• Ability to interact effectively with clients and team members.
• Strong problem-solving skills.
• Excellent communication and customer service skills.
• Strong organizational and time management abilities.
• Professional attitude.
• Comprehensive knowledge of HTSUS.
• Experience with FDA and Fish & Wildlife entries.
• Minimum three years of brokerage experience.
• Customs Broker license recommended.
• Ability to sit or stand for prolonged periods (approximately 50%).
• Ability to move within the office to access files and equipment as needed.
