    + Provide direct administrative and technical support to the Division Manager, coordinating projects, assignments, and division communications, including newsletters

    + Prepare administrative and legal submittals, correspondence, data entry, and document review to ensure accuracy and compliance

    + Develop and manage internal and external division communications, including website updates and social media content per department protocols

    + Respond to customer inquiries and resolves complex service issues while ensuring compliance with policy, legal, and regulatory requirements

    + Coordinate division operations including asset management, inventory tracking, purchasing, disposal, and staff training tracking

    + Monitor, track, and support preparation of the division budget, ensuring fiscal compliance throughout the year and at year-end closeout

    + Research, analyze, and prepare financial data and expenditure reports for division and department leadership

    + Serve as administrative agent and contract manager for multiple division and department-wide service contracts, including janitorial services

    + Coordinate procurement activities, including RFPs, purchase orders, contract renewals, amendments, and vendor compliance

    + Manage P-card, purchase requisitions, invoices, and payments, ensuring adherence to procurement policies and timely processing

    + Provide support to the Department and Division on Smartsheet assignments and development

    Work Hours:

    + Monday - Friday

    + 8:00 a.m. - 5:00 p.m.

    + The work hours may be adjusted based on operational needs

    + Occasional evening and weekend work may be required based on operational needs

     

    About You

    Minimum Qualifications:

    + Bachelor's Degree from an accredited college or university in related field AND one (1) year of job-related experience

    + -OR- An Associate's Degree from an accredited college or university in a related field AND three (3) years of job-related experience

    + -OR- Progressively responsible professional experience which provides the requisite knowledge, skills, and abilities for this job may be substituted on a year-for-year basis for the required degree. (5 years of related professional experience minimum)

    + Valid Florida driver's license at the date of hire

    Preferred Qualifications:

    + Proficiency in computer systems and software, with strong knowledge of business processes to resolve budget issues and collect, analyze, and interpret data

     

    Subject to Passing Substance Screening: This position is subject to passing a pre-employment substance screening. An applicant who fails to pass a required drug screening test shall be disqualified from employment in any class for a period of five (5) years.

    About Everything Else

    Starting Pay Range: $25.70 - $27.50/ hour , based on experience
