Job Description
The Loan Team Assistant provides administrative and operational support to the Loan Care group—the team that drives onboarding activities when new branches are acquired. This role ensures a smooth, consistent experience for newly onboarded branch leaders and loan teams by coordinating schedules, tracking workflow readiness, maintaining onboarding checklists, and keeping documentation and data clean and current. The assistant partners closely with the Loan Care Manager (e.g., Valeria Valencia) and cross‑functional stakeholders to keep onboarding milestones on track and visible.
What You’ll Do
Onboarding Coordination
Coordinate onboarding tasks for new Branch Managers and Loan Officers, including adding new team members to systems and updating start dates. [Danielle P...ck in chat | Teams]
Schedule and track live file training sessions for new and existing team members; organize agendas, invites, and materials.
Maintain the Loan Care Checklist to promote consistent client service and file quality across branches.
Monitor and update the Unassigned Loans Board to ensure accurate, up‑to‑date workflow tracking during onboarding.
Communication & Calendar Support
Manage group inbox triage (routing, drafting, and tracking responses) and coordinate calendars for onboarding meetings, trainings, and stakeholder check‑ins.
Prepare meeting notes and follow‑ups; log action items and track completions.
Documentation, Data & Systems
Collect, organize, and audit onboarding documentation (policies, checklists, rosters, credentials, access requests).
Enter and validate onboarding data across core systems (e.g., Encompass or similar LOS; Outlook; Teams; Excel/Sheets; CRM).
Create simple templates (emails, trackers, checklists) to standardize repeatable onboarding workflows.
Reporting & Continuous Improvement
Compile onboarding status reports and KPIs for quarterly or ad‑hoc reviews; assist with light analytics using Excel or AI‑based tools.
Capture process feedback from new branches; recommend updates to checklists, training materials, and workflows.

Skills and Requirements
1–2+ years in administrative, operations, or coordination roles (mortgage/financial services preferred).
Proficiency with Microsoft 365 (Outlook, Excel, Teams) and collaborative tools; ability to learn LOS/CRM platforms quickly (e.g., Encompass or similar)
