    Responsibilities

    + Serve as office point of contact for notification approved CDC conference, conference approval managment system (CAMS) approval and coordination of conference memos.

    + Process domestic and international travel requests utilizing CDC travel system, and other CDC of HHS automated systems. Monitor and track all travel requests and vouchers are processed from beginning to the end.

    + Process OSEP documentation for fingerprinting, security check, ID badges and Cardkeys for new and current staff members and visitors.

    + Serves as the Alternate Property Custodian Officer by monitoring and tracking government furnished equipment, office equipment and supply inventory.

    + Submit purchase requests into 1350 system that includes equipment, supplies, and other office purchase needs

    + Provide managerial support in electronic filing and maintaining records of past and current division documents; compiling technical information for reports, contracts, procurements, and agreements, and updating spreadsheets for travel list, purchase orders via CDC automated system (ICE) for contract and agreements and other program operational data.

    + Provide consultation to CDC staff to help process and track FOIA request for the Division

    + Provide logistical support for all ARX meetings and/or events onsite and offsite locations.

    + Coordinate and facilitate web-based meetings, teleconferences, and workgroup meetings.

    + Provide onsite meeting support to register attendees, ensure all materials are delivered, setup and help facilitate meetings.

    + Assist staff to coordinate regular communication - electronic and telephonic - with CDC staff, and external stakeholders

    + Provide logistical and technological support for all conferences or meetings held by the branch.

    + Arrange ongoing weekly and biweekly meetings. Coordinate meetings to include providing conference call lines, production of agenda and materials for discussion

    + Works with program management office to track and process IPAs, IAAs and ICE requisitions.

    + Provide consultation to the CDC staff on the Broad Agency Announcement execution process that includes:

    + Broad Compiling and distribution of proposals and supporting documentations

    + Administer Share Point site to provide oversight for uploading documents and tracking proposal reviews

    + Assist internal and external partners with access

    + Coordinate and assist with managing panels for technical and business review

    + Coordinate and provide logistical support at approved conferences and meetings in relations to communications and antimicrobial resistance activities.

    + Attend CDC approved trainings required to learn new CDC government systems to complete required tasks.

    + Develop standard operating procedures, guidelines, and instructions for administrative and management requirements. Works with managers and program officials to determine steps or actions to be taken to adhere to administrative requirements.

    + Analyze and evaluate the management practices and administrative operations of the organization unit or segment of the organizational unit and proposes solutions to management.

    Qualifications

    _Minimum Qualifications:_ (To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.)

     

    + BA/BS degree in a related field

    + Minimum of 5 years of related experience

    _Knowledge, Skills and Abilities:_

    + Candidate must have extremely strong communication and presentation skills

    + Experience work on strategic planning documentation(s)

    + Excellent verbal and written communication skills, prioritization skills

    + Ability to recognize client needs, exceptional organizational and collaboration skills,

    + Capable of taking direction and being adaptable to change

    + Exceptional customer service orientation, attention to details and deadlines ensuring effective task management

    + Be comfortable public speaker who can provide presentations and reports on their findings

    + Work well as part of a team
