Location Description
Michael Foods, Inc. located in Lenox, Iowa and often called the "Pearl of the Prairie" is where you can find small town living, focused on family and friends, with big city amenities not far from reach in Des Moines, Omaha, and Kansas City. Located in southwest Iowa, Taylor county, with a population of around 1400, the Lenox area reaches far beyond the city limits with beautiful and productive fields of corn, beans, and other croplands. Lenox holds an amazing four day Rodeo every July and is home to a beautiful 36-9 hole golf course, several fishing and boating lakes, great area hunting, a beautiful city park with swimming pool, and many picnic parks. The MFI location in Lenox produces primarily pre-cooked egg patties. Responsibilities
POSITION SUMMARY:
The Plant Administrative Assistant serves as the facility’s front desk receptionist who serves as the face of the Michael Foods Norwalk facility. This role is responsible for managing the front desk operations, providing exceptional customer service to staff and visitors while performing essential administrative support to ensure smooth daily operations. This position has the responsibility to comply with Safety work rules at all times as well as an obligation to reinforce Safety as a Core Value. Ensures that all policies, procedures and activities, related to Food Safety & Quality, are followed and complied with uniformly, in an effort to reduce product and process variability.
DUTIES AND RESPONSIBILITIES:
1.Greets staff, vendors, contractors, clients, and other guests when they arrive. Ascertain their needs and direct them to the appropriate person, office, and/or take messages. Ensuring the visitor log is maintained through the visitor analytics & reporting system.
2.Manages the facility’s main phone line by directing calls and messages to the appropriate person while performing administrative duties (photocopying, faxing, scanning, distribute mail & payroll, etc.
3.Manages the facility key card access system in conjunction with I.T.
4.Manages the office inventory supply while ensuring the printing room and front reception area are presentable.
5.Manages the facility’s conference/training rooms and their booking schedules.
6.Point of contact for office vendors and suppliers.
7.Creator of internal communication and post communication to the facility’s bulletin boards and T.V. Carousels.
8.Supports the facility’s recognition programs, which includes but not limited to work anniversaries and birthdays.
9.Maintain employee records both digitally and physically. Conducts necessary audits.
10.Supports the HR team in organizing company events and programs. Coordinates office and facility wide meals.
11.Supports the facility’s HR & onboarding team with orientation and off boarding.
12.Supports the HR Supervisor with the facility’s attendance program.
13.Maintains strict confidentiality of company and employee information.
14.Accountable for a safe and healthy workplace for everyone. Adhere to all safety policies and procedures and incorporate safety and health in all jobs and tasks.
15.Adhere to Quality work practices, follow GMP’s, maintain sanitary conditions and ensure that product quality is maintained. Report to management any conditions or practices that may adversely affect food safety and quality.
16.Performs other duties as assigned.
Qualifications
EDUCATION AND EXPEREINCE REQUIRED:
1.High School Diploma or GED; Associate degree (AA) or equivalent combination of 1-3 years of education, training and/or experience.
2.Must be professional in dealing with personnel issues including confidential information.
3.Excellent computer skills and familiar with Microsoft Word, Excel, Power Point, Publisher, Teams, etc.
4.Organized and detail oriented. Strong problem solving, communication, creativity and interpersonal skills.
5.Proficient in English communication both written and verbal.
6.Able to work independently and as part of a team.
PREFERRED EDUCATION, EXPERIENCE AND SKILLS:
1.1-3 years of experience in an office setting as an office administration role or equivalent combination of education, training and/or experience.
2.Previous experience in managing the front door of a secure facility and key card access system.
3.Previous experience with HRIS/payroll/timekeeping system or similar preferred but not required.
4.Previous experience with visitor analytics & reporting system preferred
