    Job Description Summary

    Energetic and efficient front desk and office support person to work in operations for a commercial real estate services company in Boston. The candidate will work closely with the Operations team and fee-earners (brokers) within the market to provide support and implement strategic initiatives. The ideal candidate will be hospitality-focused, showcase a contagiously positive attitude and exceptional communication skills, and have the ability to support clients, guests, and employees in the Office.

    Energetic and efficient front desk and office support person to work in operations for a commercial real estate services company in Boston. The candidate will work closely with the Operations team and fee-earners (brokers) within the market to provide support and implement strategic initiatives. The ideal candidate will be hospitality-focused, showcase a contagiously positive attitude and exceptional communication skills, and have the ability to support clients, guests, and employees in the Office.

    Essential Job Duties:

    Office Operations

    + Manage front desk by providing building access (when required) and notifying the employees that client, vendor or job candidate has arrived

    + Coordinate catering, conference room space, invitations, and other event planning activities as needed

    + Must have the ability to understand and explain AV technology as it applies to each individual requirement and complete AV checks of all conference rooms each day ensuring everything is functional and ready for use

    + Support, organize, and/or assist with internal meetings and events as required

    + Answer and screen all incoming calls and relay messages for 2 offices

    + Communicate general company information

    + Communicate with operations staff, fee-earners, and Market Leader

    + Handle calls with discretion per the request of the operations staff, fee-earners, and Managing Principal

    Office Administration / Vendor Management

    + Manage purchasing and maintenance of office supplies and office equipment (i.e., furniture, IT equipment, telephones, snack services, plants, etc.) by ordering through Workday, procurement, or outside vendor

    + Enter all new local vendors into Workday and cleanse data, if required

    + Support mail room operations (i.e., picks and sorts mail daily, postage machine, fax and copy machines, manages incoming and outgoing FedEx shipments)

    + Work with Operations Manager on business continuity issues

    + Assistance with onboarding new employees

    + Order business cards

    + Document preparation (review, print, bind)

    + Support the operations team with office technology implementations, upgrades, support, facilities, telecommunications, emergency preparedness and business continuity planning

    + Other duties as assigned

    BACKGROUND AND EXPERIENCE

    Demonstrated experience should include:

    + HS Diploma or GED required, college degree preferred

    + Very good written and oral communication skills

    + A minimum of 1 year of front desk, concierge, customer service or other hospitality experience is preferred

    Competencies

    + Ability to follow instructions and procedures

    + Ability to deal and communicate effectively with all levels of staff and management

    + Warm and engaging demeanor. Ability to assess circumstances, empathize and offer help

    + Have a positive attitude and a strong sense of urgency in resolving any issues that may arise

    + Strong written and oral skills

    + Strong Microsoft Office Suite skills

    + Knowledge of office administrative duties

    + Good judgment, tact, and discretion

    The compensation that will be offered to the successful candidate will depend on factors such as whether the position is covered by a collective bargaining agreement, the geographic area in which the work will be performed, market pay rates in that area, and the candidate’s experience and qualifications.

     

    The company will not pay less than minimum wage for this role.

     

    The compensation for the position is: $24.52 - $28.846153
