Essential Duties and Responsibilities:
This position is characterized by the performance of a variety of administrative, secretarial, and office support duties that are general to an academic unit and specific to a Theatre Department and theatre production. While the position doesn’t require a background in theatre, it requires a learned knowledge of the office and work unit policies and procedures, and the ability to communicate information involving programs, functions, and services specific to theatre education and theatrical production, academic scheduling, and theatre research, including the following:
+ Travel reimbursement policy and procedures
+ Recording the schedule of classes
+ Organizing catering for multiple annual events
+ Recording and distributing agendas and minutes from departmental meetings in a timely manner
+ Facilitating the employment process from job posting to completion
+ Ordering scripts and applying for copyright permissions for theatrical productions
+ Preparation of documents and reports
+ Use of office technology, compiling records, organizing, and maintaining files
+ Facilitating communication between administration, faculty, and students
+ Posting email and social media information to all stakeholders as needed
+ Greeting//referring/ assisting visitors/clients/staff/others
+ Mail distribution and photocopying
The work often involves a public contact role to clarify or provide information regarding the activities of the work unit.
Position may serve as the primary staff assistant to a department or program manager
Minimum Experience / Education:
Required Minimum Qualifications:
Graduation from high school, or an equivalent combination of education and experience.
Preferred Education Skills and Experience:
+ High proficiency in office technology and ability to learn/use campus-specific systems; excellent written communication, verbal/interpersonal, and customer service skills required.
+ Demonstrated use of Microsoft Office and Google Suite software applications to achieve efficiency and productive analysis and reporting, and presentation results (Word, Excel).
+ Experience in planning departmental events and processing travel arrangements.
+ Experience with web design or social media promotion.
+ Exposure to University/college-based software systems and policy is strongly preferred.
