The Critical Infrastructure Coordinator is responsible for overseeing the scheduling, coordination, and documentation of preventative and corrective maintenance for essential facility systems, including HVAC, generators, UPS systems, and fire life safety equipment. This role manages vendor relationships, ensures compliance with service level agreements, and maintains accurate records across internal and client systems. The Critical Infrastructure Coordinator plays a key role in operational continuity by proactively monitoring dashboards, generating reports, and collaborating with cross-functional teams to ensure timely and efficient service delivery. Strong organizational and communication skills are essential to support infrastructure reliability and client satisfaction.
Responsibilities
+ Manage vendors in terms of developing preventative maintenance schedules for the entire year.
+ Responsible for all coordination of client’s Critical Infrastructure facilities and assets such as Generators, UPS Systems, DC Plants, HVAC, Fire Life Safety, IR Scans, Pest Control, and Cleanings.
+ Establish and maintain relationships with vendors and client personnel.
+ Daily Navigator dashboard review and monitoring.
+ Ensure proper routing of all PM work orders as assigned.
+ Coordinate corrective maintenance with onsite staff and third party vendors.
+ Generate monthly reports for client regarding completed work for the past month and upcoming scheduled work.
+ Schedule at least three months out to be in compliance with scheduling protocols and procedures.
+ Work openly with the preventative maintenance administrator’s and operations team to ensure greatest client satisfaction.
+ Document work in various internal and client systems after work has been scheduled.
+ Receive service documentations per the SLA of the clients once work is complete and attaching items to specific work orders.
+ Routinely check on status of all work to monitor if work is completed, postponed or if needs to be rescheduled.
+ Updating and maintaining document control.
+ Reviewing procedural documents for completion and updating work order requests in internal system.
+ Scheduling routine maintenance requests.
+ Corresponding with internal employees in multiple departments.
+ Additional duties as assigned.
Qualifications
+ High school degree or equivalent required; Bachelor's degree in Business Administration or other related field preferred.
+ Excellent client interaction, verbal and written skills, detail oriented, and prioritization skills.
+ Eager and motivated individual who excels in a team environment with the necessary communication skills to interact with the technicians and vendors.
+ Proficient with MS Office Suite.
+ Strong attention to detail required.
+ Excellent verbal and written communication skills.
+ Able to problem solve and work independently.
+ 1-3 years’ experience in scheduling and vendor management, logistics or other related field preferred.
+ Experience working in a technical industry such as Manufacturing, Power Generation or IT a plus
+ Candidate should be able to work independently and also as part of a team and must have the ability to learn new technologies.
+ Knowledge of a ticketing system, work order system or other CMMS preferred.
The data center work environment is a highly secure, physically demanding, and structured operation, characterized by its loud, controlled temperature conditions and 24/7/365 uptime. The environment demands a high attention to detail and strong problem-solving skills to manage and troubleshoot critical equipment during regular operation and in emergency situations. Lifting up to 50 lbs, regular bending, stooping, climbing and long periods of walking / standing will be required.
