    Position Overview

    As an Administrative Assistant 2 in the Iowa OSHA division, you will work under the supervision of the Division Administrator at our central office near Valley Junction in Des Moines, Iowa. You will provide administrative support to Iowa OSHA Administrator; 13 Safety/Health Consultants; 12 Industrial Hygienists; and other OSHA management staff. This position provides current statistical data to OSHA management and to the State Legislature during session. Typical work includes running reports, reviewing data and preparing reports for the Regional OSHA office. Other work includes reviewing case-file input, preparing citations for management signatures entering abatement, payment, and other information into our software portal.

    Responsibilities

    You will be an integral member of our team, providing support of the agency’s operations by:

    • Running a variety of reports throughout the year for both internal, and external stakeholders

    • Communicate with IOSHA Clientele helping them submit documents, schedule conferences, etc.

    • Supporting Compliance Safety & Health Officers with case file information, and storage

    • Help leadership in analyzing operational problems and giving input on timely, effective, and economical solutions.

    • Help with maintaining the Iowa OSHA website and assisting in the development of forms, spreadsheets, templates,

     

    brochures, etc. utilizing applicable software products.

     

    • Performs additional job duties and responsibilities for mail sorting/distribution and check cashing

     

    procedures within Iowa OSHA.

    Minimum Qualification Requirements

    Applicants must meet at least one of the following minimum requirements to qualify for positions in this job classification:

    + Graduation from an accredited four-year college or university with a bachelor's degree in any field, and experience equal to one year of full-time administrative support (e.g., screening visitors and callers; opening/distributing mail, typing/proofing documents, letters, and reports; organizing files; scheduling meetings/appointments; arranging travel; processing travel claims; ordering supplies/equipment) or technical support work (e.g., determining budget, personnel, and equipment needs; compiling/evaluating statistical, historical, economic, business, financial or technical program data; interpreting or securing compliance with laws, rules and regulations; reviewing operating records/reports and evaluating their effectiveness).

    + A total of five years of education and/or full-time experience (as described in number one) where thirty semester hours of accredited college or university course work in any field equals one year of full-time experience.

    + Current, continuous experience in the state executive branch that includes experience equal to 12 months of full-time work as an Administrative Assistant 1.
