    Reporting to the Executive Director, the Facilities Manager is responsible for the implementation and management of the Utility Management Plan and the day-to-day operations of the Facilities Engineering Department. This includes oversight of building maintenance, facility services, infrastructure projects, and facilities-related regulatory compliance. The Facilities Manager directs and coordinates all required maintenance activities, manages vendor relationships, and ensures compliance with all applicable safety and regulatory standards. This role plays a key part in maintaining a safe, functional, and efficient environment for patients, visitors, and team members. Additionally, the Facilities Manager assists in determining the facilities equipment replacement cycle based on maintenance history and industry best practices. The position also supports leadership in evaluating and selecting the most appropriate equipment support model, considering in-house capabilities, original equipment manufacturers (OEM), and third-party service providers.

    Principal Accountabilities:

    1.Building Maintenance:

    •Oversee the maintenance and repair of facility systems, including HVAC, electrical, plumbing, boiler plant and all building infrastructure components.

    •Coordinate routine repairs, inspections, preventative maintenance schedules, and emergency repairs.

    •Assures and maintains facility documentation, policies & procedures, and that team member’s assessment tools are current and updated. Assures that service is completed, and that the documentation submitted into the CMMS is accurate & complete.

    •Ensure that all systems meet regulatory, safety, and environmental standards.

    2.Vendor and Contractor Management:

    •Manage relationships with third-party vendors, contractors, and service providers.

    •Ensure that vendors meet their service level agreements (SLAs) for various facility services (e.g. equipment support contracts, LS inspection contracts, snow removal/landscaping).

    •Ensure that vendors adhere to terms and deliver services according to expectations.

    •Ensure that vendors follow facility safety requirements

    3.Safety Compliance:

    •Enforce ILSM protocols during fire detection/suppression equipment impairment.

    •Ensure the facility complies with all local and national safety regulations related to facility operations (CMS, TJC, NFPA, NJDOH, NJDEP)

    •Enforce safety protocols during fire detection/suppression equipment impairment.

    •Maintain records of inspections, maintenance, and repairs for compliance documentation.

    •Develop, maintain and report the annual evaluation of the Utility Management Plan.

    4.Budgeting and Cost Management:

     

    Prepare and manage the facility department’s annual operating budget, including planning for repairs, contracts, snow removal and annual operational costs.

     

    Assist Executive Director with the annual infrastructure budget and recommend repair/replacement projects based on facility needs.

     

    Track and report monthly expenses, ensuring that all facility-related costs remain within budget.

     

    Identify cost-saving opportunities and implement efficiency initiatives.

     

    5.Emergency Response:

     

    Implement Facilities emergency procedures for various situations (flooding, power, HVAC, domestic water, sewer outages and any utility impairments etc.).

     

    Coordinate Facilities emergency response teams and ensure preparedness for unforeseen events.

     

    Oversee the facility operation during major events or incidents, providing, support and communication to leadership.

     

    Participates as a member of the OHS/EM Committee.

     

    6.Sustainability and Environmental Initiatives:

     

    Promote sustainable practices and energy-saving initiatives within the facility.

     

    7.Communication & Collaboration

     

    Serve as the primary liaison between Facilities Engineering and clinical departments, administration, and external agencies.

     

    Communicate facility impacts, maintenance activities, and project updates to hospital leadership and team members.

     

    Collaborate with Clinical Engineering, Safety, Infection Control, and Environmental Services to ensure integrated facility management.

     

    Required:1. High School Diploma or equivalent.2. 7 years of experience in healthcare facilities management, property management, or a related role (required).3. 2 years of leadership and managerial experience.Preferred:1. Associate degree in Facilities Management, Engineering technology, or a related field (preferred)
