The Course Reserves Supervisor has overall responsibility for the day-to-day operations of Course Reserves. Primary duties include supervising the processing of incoming and outgoing reserves requests, maintaining the physical organization of reserves collections, promoting uReserves (Leganto) and the Course Reserves service through partnerships with the Learning Commons, outreach to faculty, library liaisons, and the campus bookstore. Coordinate textbook accessibility program, process electronic reserves (e-reserves) in accordance with copyright law, manage related accounts in uReserves (Leganto) and Blackboard and maintain all related files and statistics. Additional duties include assisting in supervising the Access Services Desk operations in support of the Learning Commons and Library Operations. General duties include answering ready-reference and directional questions and supervising student workers. Additional responsibilities include assisting the Access Services Managers in maintaining a scholarly atmosphere within the library.
This regular, full-time position may be required to work during any of the library operations hours, which are Monday through Thursday, 7:30 am to 2:00 am, Friday, 7:30 am to 10:00 pm, Saturday, 10:00 am to 10:00 pm, Sunday, 10:00 am to 2:00 am and 24/7 during End of Semester Exam periods. During shortened and summer hours, the schedule varies. This position is slated to work Thursday through Monday, (Mon & Thu 1:00pm to 9:00pm, Fri 2:00pm-10:00pm, and Sat & Sun 10:00am-6:00pm) but subject to change as needed by the department.
ESSENTIAL DUTIES & RESPONSIBILITIES (include percentages of time)
Reserves Processing and Electronic Reserves Services (50%)
+ Maintain positive customer relations with faculty, students and staff, vendors, and publishers.
+ Serve as the primary contact for faculty and resolve situations related to course reserves
+ Interview, evaluate, train, and supervise student assistants
+ Oversee the day-to-day operations of all aspects related to Reserves and e-reserves.
+ Manage all aspects of accounts (course reserves), including keeping course materials updated each semester and returning material to professors for courses not offered during the current term.
+ Keep statistics for course reserves and e-reserves.
+ Digitize materials going on e-reserves adhering to copyright laws.
+ File for copyright compliance for reserves. Maintain records and coordinate payments.
+ Assist in creating policies and procedures for course reserves (including e-reserves) and update regularly.
+ Maintain Course Reserve manuals.
+ Inform University faculty of any procedural changes, copyright, policies, and services that we provide
+ Prepare routine orders from Acquisitions of items requested for reserves.
+ Maintain and update all the web pages related to Course Reserves on a regular basis.
+ Answer questions regarding Reserve procedures, policies, records, and transactions.
+ Create course lists and item records. Create Reading lists in Alma and uReserves (Leganto).
Access Desk Responsibilities (30%)
+ Supervision of services & staff at the Access Desk.
+ Coordination of referrals and support to the Learning Commons Services.
+ Serves as a contact for staff and patron problem resolution.
+ Monitors workflow and establishes priorities as needed.
+ Coordinates staffing assignments with the Circulation Manager.
+ Check in/out, and renew library, ILL, and Reserve materials. Maintains headcounts and paging workflow.
+ Issue and update library patron permits/passes and Temporary CaneIDs.
+ Answer questions regarding Circulation procedures and patron accounts, records, and transactions.
+ Monitor library entrance and public areas to ensure that patrons follow library policies.
+ Negotiate situations involving fines, encumbrances, claims returned, or other problems that patrons have.
+ Assist with library closing duties, clearing Stacks Tower, 1st, 2nd, and 3rd floors.
+ Instruct and assist patrons with library equipment (e.g., copy machines, microfilm readers, AV, etc.).
+ Implements, interprets and enforces departmental, library, and university policies and procedures as directed by supervisor and library administrators.
+ Ensure that the library entrance and the circulation desk are neat and equipped with the necessary supplies (umbrella bags, calendars, stack guides, passes, check staplers, hole punch, and paper cutter, etc.)
+ Reports facilities complaints to the Facilities Manager or other appropriate departments. Reports security problems to Public Safety.
+ Know how to use SUMA, GIMLET, and When2Work to assist with Access Desk duties.
Outreach and Program Development (10%)
+ Develop and maintain collaborations with Learning Commons Partners to ensure course reserves are needed for the delivery of their services and related materials for supported courses.
+ Develop and coordinate and review each semester’s required textbooks to identify needs for textbook accessibility program. Work with the campus bookstore to identify required course materials for review.
+ Develop and operate an outreach program to faculty to expand usage of the uReserves system (Leganto).
+ Work closely with Subject Liaisons to promote reserves.
+ Develop and operate an outreach program to the university library department to facilitate desk copy contributions and identify needed acquisitions for the reserve program.
+ Monitor and report analytics on the performance of all reserves programs and develop enhancements to the program.
ILL Lending & Borrowing (5%)
+ Know and apply policies and procedures to facilitate the electronic receiving of documents to University of Miami users. This involves the use of specialized scanner technology (BSCAN ILL, ILLiad).
+ Process rush and normal priority borrowing or lending requests and use specialized software such as ILLiad software, Circulation ILS software, and MS Word. This involves searching OCLC and OPAC using specialized search techniques and evaluating information to determine further actions to be taken.
+ Process document delivery requests using the Internet, library full-text databases and electronic journals, specialized ILLiad software, and MS Word.
+ Create, maintain, and update patron records in ILLiad. Verify patron information in the OPAC.
Other duties as assigned (5%)
+ Assist with special Access Department and library-wide projects as assigned.
+ Coordinate with the Manager for schedule changes during times of 24/7
+ Participation in library committees and teams as needed
+ Participation in training programs and workshops encouraged
Percentages may vary depending on the service and operational needs of the Unit and the University of Miami Libraries.

+ This individual assists in the supervision of student assistants on a daily basis
+ This individual assists in the supervision of other staff on an occasional basis in the absence of supervisors and managers during evening shifts
Level of Contacts
+ Within the library, this person will have regular business contact with equipment technicians and works with all levels of library faculty and staff as well as student employees. This person will also have contact with patrons of the library as well as alumni and community users. This person is expected to work closely with the bookstore and faculty within the learning commons to assist in developing a bolder Reserves resource for our patrons. In all contacts, the incumbent is expected to be professional and courteous.
QUALIFICATIONS (Education, Experience, Skills, Training, etc.)
+ Bachelor's degree.
+ Typing skills of 30 WPM.
+ Excellent organizational skills.
+ Excellent Customer Service and interpersonal skills.
+ Must be able to lift 30 pounds and push 50+ pounds.
+ Strong written and oral communication skills.
+ Minimum three years of relevant experience; office or related experience preferred.
+ Any relevant education, certifications and/or work experience may be considered.
Preferred
+ Fluency with Ex Libris Alma or similar library system preferred.
+ Experience with Microsoft Office software including Word, Excel, and Outlook
+ Understanding of Internet navigation/research required.
