    Overview

     

    The Transportation Manager is responsible for the direction and coordination of resident transportation. Provides on-site supervision to transportation staff at the PACE facility. Under the direction of the Director of Transportation, manages the transportation program to meet the needs of the participants, participant’s family, and the staff of supporting departments such as the Daycenter, Medical Clinic, Physical Therapy and Occupational Therapy.

    Responsibilities

    Job duties specific to this position:

    + Responsible for the daily supervision and direction of the drivers for the PACE facility.

    + Responsible for specific supervision of staff members to include posting and maintenance of work schedules, employee disciplines, performance appraisals, QA oversight, payroll etc.

    + Ensures appropriate coordination of transportation services for residents by maintaining a regular line of communication with the PACE Day Center Manager & Site Director.

    + Required to safely operate all PACE CNY vehicles, including those with a hydraulic wheelchair lift.

    + Must have the ability and knowledge to act as a substitute driver, dispatcher, scheduler or vehicle maintenance tech on short notice.

    + Maintains regular relationships with service providers and communicates any maintenance or service concerns for resolution.

    + Maintain regular communication with the Transportation Director regarding staff schedules, the need for supervisory intervention and/or requests for additional resources to overcome delays in service.

    + Conducts evaluations of participant’s residences to assess safety and accessibility before a client is enrolled, or in response to a request of any team member.

    + Ensures that PACE Drivers are providing services to residents and their families in an acceptable manner.

    + Regularly interacts with client’s family members who have requests, concerns or complaints, and resolve them accordingly.

    + Shares pertinent information regarding specific client care/service issues with the PACE Interdisciplinary Team and the Transportation Director.

    + Completes the appropriate documents pertaining to any unusual incidents, complaints, or problems encountered on a day-to-day basis.

    + Maintains confidentiality of resident information in accordance with Resident’s Rights agreement and HIPPA legislation.

    + Attends and participates in regular PACE morning interdisciplinary meetings.

    + Attends training and in-services: provides staff training, in-services and conducts meetings to encourage growth, development and meet education requirements.

    + Serves as role model for the department in all aspects, including customer service.

    + Demonstrates adherence to all compliance policies and procedures. Is responsible for promoting and fostering compliance in the workplace.

    + Ensures the highest quality of care by performing responsibilities according to the highest professional standards.

    + Demonstrates knowledge of PACE/D&TC Emergency Preparedness Plan and can verbalize their role during an event.

    + Conduct interviews with prospective employees alone or as part of the management team.

    + Be available for on-call responsibilities.

    + Ability to work outside of normal business hours.

    + Uses critical thinking and effective communication skills during conflict resolution, problem solving, decision making, coaching and other complex dialogues.

    + Keeps current in his/her area of specialization and in emerging and best practices.

    + Fosters process improvements for greater operating efficiency and resident/customer service. Ensures optimal workflow and adequate resources.

    + Actively leads or participates in meetings, teams and task forces as requested.

    + Ensures adequate skills, training and development among staff.

    + Manages and supervises assigned personnel, including performance management, scheduling, and orientation. With the Director and Human Resources guidance, makes or approves recommendations on employee hires, transfers, promotions, salary changes, disciplinary actions, terminations and similar actions. In conjunction with HR, resolves grievances and other personnel problems in a fair, timely and consistent manner.

    + May have input to or recommendations for operating budgets.

    + Performs a variety of related duties as assigned.

    Qualifications

    + Associate’s Degree or higher, or a combination of college with supervisory experience. Minimum 3 years supervisory experience in a related field is strongly preferred.

    + Valid NYS driver’s license. First aide certified.

    + Able to lead, guide and motivate others.

    + Demonstrated ability to effectively communicate both verbally and in writing.

    + Dependable worker.

    + Able to meet deadlines.

    + Good interpersonal skills.

    + Multi-tasking ability and the capability to prioritize and analyze.

    + Ability to successfully work and adapt in a high paced and changing environment.

    + Organized and detail oriented.

    + Proven critical thinking, decision-making and problem-solving ability.

    + Proficient in MS Office and able to learn new software, including Transportation Scheduling and EMR, rapidly.

     

    An equivalent combination of education and experience which provides proficiency in the areas of responsibility listed above may be substituted for the above education and experience requirements.
