    Description:

    The Scheduler is responsible for coordinating and scheduling inpatient and outpatient procedures, tests, and surgeries across multiple facilities. This role ensures efficient use of provider schedules, communicates with patients and physicians, and adheres to departmental and insurance requirements. The Scheduler also handles preauthorization, manages clinic schedules to enhance patient experience and productivity, and triages incoming calls appropriately.

     

    **Position Title:** Patient Scheduler

    **Department:** Cancer Services Silvis

    **Schedule:** Dayshift, Monday through Friday, 8 am to 5 pm

    **Pay Range:** $18.79 - $28.19 per hour

    ESSENTIAL FUNCTIONS

    + Knows, understands, incorporates, and demonstrates the Trinity Health Mission, Vision, and Values in behaviors, practices, and decisions.

    + Schedules and reschedules patient procedures, tests, surgeries, and exams across multiple facilities.

    + Coordinates surgery and procedural schedules with physicians, hospitals, and departments. Ensures room availability; required equipment, and medication are arranged prior to procedures.

    + Maintains and leverages strong working relationships with patients, providers, and multidisciplinary teams to ensure a positive patient experience.

    + Adapts to various changes and updates various scheduling systems promptly.

    + Informs patients with appointment details including date, time, location, and preparation instructions. Schedules follow-up appointments as directed by physicians.

    + Provides non-medical pre- and post-procedure instructions and answers patient questions.

    + Obtains pre-certification and verifies insurance eligibility for procedures. Ensures all pre-operative testing and documentation are complete and available before procedures.

    + Works with billing to resolve procedure denials or reauthorizations.

    + Inputs, updates, and retrieves patient information such as demographics and insurance in EMR systems.

    + Triages and routes incoming phone calls to appropriate staff or departments. Escalates non-routine scheduling or patient issues to the practice manager or physician.

    + Performs general office duties including copying, filing, and electronic record retrieval.

    + Serves as liaison between clinics and hospital departments

    + Proactively serves as a patient advocate by utilizing courteous and professional etiquette at all times reflecting positive tone and speaking distinctly with poise, tact and assurance. Ensure accurate and complete messages to appropriate personnel.

    + Work includes cross coverage in other clinic areas as team needs.

    + Assists in training, orienting, and supporting new colleagues.

    + Other duties as needed and assigned by the manager.

    + Maintains a working knowledge of applicable Federal, State, and local laws and regulations, Trinity Health’s Organizational Integrity Program, Standards of Conduct, as well as other policies and procedures in order to ensure adherence in a manner that reflects honest, ethical, and professional behavior.

    MINIMUM QUALIFICATIONS

    + Must be comfortable operating in a collaborative, shared leadership environment.

    + High school diploma or equivalent required.

    + 2 years of experience in a medical or healthcare setting is required.

    + Knowledge of medical terminology is preferred.

    + Familiarity with health insurance rules and regulations preferred.

    + Must possess the ability to interact. Interaction is with a variety of people inside or outside the organization. Communications are of    moderate difficulty and sensitivity. Contact with others may involve detailed & lengthy dialogues & exchanges of information. Requires a moderate number of interpersonal skills. Interactions involve dealing with moderately complicated problem situations or stressful encounters.

    + Basic Life Support (BLS) for the Healthcare Provider certified or obtained within three (3) months of hire.

    + Proof of completion of Mandatory Reporter abuse training specific to population serve within three (3) months of hire.

    + Requires the ability to read, write and understand the English language, and communicate effectively with patient, visitors, and colleagues while performing their job duties.

    + Must possess a personal presence that is characterized by a sense of honesty, integrity, and caring with the ability to inspire and motivate others to promote the philosophy, mission, vision, goals, and values of Trinity Health.
