Job Title: Facilities Coordinator** **Job Description
As a Facilities Coordinator, you will be responsible for providing comprehensive facility management services, ensuring continuous monitoring of office operations. You will address client inquiries and concerns, ensuring timely and quality resolution and service delivery. Your role will involve responding to facility inquiries and complaints, assessing problems, and taking necessary corrective actions. You will coordinate with outside contractors for equipment services and repairs, and follow protocols for building-specific maintenance and safety procedures. Communication with contractors, clients, and the team will be crucial as you assist with site inspections and manage work orders.
Responsibilities
+ Provide overall facility management services, including monitoring office operations.
+ Address client inquiries and concerns with timely resolution and quality service delivery.
+ Follow up with clients to ensure customer satisfaction.
+ Respond to facility inquiries and complaints, assess problems, and take corrective actions.
+ Maintain knowledge of all operational aspects of building systems.
+ Coordinate with outside contractors for equipment service and repairs.
+ Adhere to protocols for building-specific maintenance and safety procedures.
+ Communicate with contractors, clients, and the team.
+ Assist with site inspections within the assigned building portfolio.
+ Create and manage work orders, assign tasks to engineering staff, subcontractors, and vendors.
+ Report on the status of open and closed work orders.
+ Request, review, and process work orders, bids, and proposals from vendors.
+ Verify final invoice pricing and process payments promptly.
+ Monitor and assess vendor performance.
+ Train vendors on work order and billing procedures.
+ Manage complex work orders related to environmental issues and disaster recovery.
+ Oversee vendor and landlord service performance for timely job completion.
+ Maintain written communication between all parties.
+ Schedule and document maintenance and repairs on building equipment.
+ Frequently communicate with clients, landlords, and vendors to resolve issues and update on project status.
+ Provide training and direction to new associates regarding processes and procedures.
+ Coordinate special events in support of the client.
+ Measure and report key performance indicators against service level agreements.
+ Provide facilities helpdesk services and monitor workflow for facilities cases to ensure service quality.
Essential Skills
+ Proficiency in Microsoft Office suite.
+ Experience with work orders and data entry.
+ Strong customer service skills.
+ Knowledge of facility management practices.
Additional Skills & Qualifications
+ A minimum of 1 year of experience in an administrative, accounting, or tenant services capacity.
+ Experience in data entry, expansive reporting, filing, answering phones, scheduling, and communications.
+ Previous customer service experience.
+ Experience in facilities/property management, commercial real estate, or professional services industries is preferred.

Work Environment
The role of Facilities Coordinator is temporary, covering for the current coordinator who will be on maternity leave starting in January for approximately three months. The position requires working from 9 AM to 5:30 PM. This opportunity allows you to work in a professional setting with a focus on facility management and client satisfaction.

This is a Contract position based out of Richmond, VA.
Pay and Benefits
The pay range for this position is $30.00 - $30.00/hr.
