    Description

    Position: Supply Chain Specialist

     

    The Supply Chain Specialist manages all facets of the order processing cycle, consistently seeking opportunities to enhance efficiency while aligning with broader departmental or organizational objectives. This role represents the organization positively and professionally, collaborating within a fast-paced, team-oriented environment to meet both team and individual performance metrics. Responsibilities include analyzing workflows, tracking key metrics, implementing process improvements, and supporting necessary changes.

    Key Responsibilities:

    Order Fulfillment

     

    + Effectively prioritize and manage assigned tasks and workload.

    + Coordinate with suppliers regarding export documentation requirements.

    + Manage communications and order coordination with key logistics providers, distributors, and warehouse partners.

    + Maintain and document processes, including clear RACI (Responsible, Accountable, Consulted, Informed) charts for distributor-specific procedures.

    + Serve as main point of contact for customer communications.

    + Facilitate communication with sales teams when needed.

    + Oversee order processing and tracking using daily open orders reporting.

    + Anticipate potential risks to shipping timelines and address proactively.

    + Support the sample order process as required.

    + Review distributor inventory reports and discuss ordering needs with sales and distribution partners.

    + Analyze reporting (primarily in Excel) related to orders, key metrics, and allocations.

    + Prepare and follow up on necessary documentation with suppliers.

    + Review and clear backorder holds to ensure timely order release.

    + Propose improvements to existing processes through brainstorming and analysis.

    + Complete mid-month and month-end operational checks for assigned territories and team.

    + Provide coverage and support for team members as needed.

     

    Accounting & Financial

     

    + Follow up with accounting on any credit or pricing holds.

    + Collaborate with the finance and accounting teams to ensure accuracy in excise tax processing.

    + Manage requests related to credits and rebills as required.

     

    Compliance

     

    + Adhere to allocation protocols and support new product or distributor onboarding processes.

    Requirements

    Qualifications:

    + Minimum two years of experience or formal training within a service-driven field, including customer service, operations, or logistics; alternatively, recent high-performing college graduate with demonstrated ability to learn quickly.

    + Strong verbal and written communication skills for interaction with partners, colleagues, and management.

    + Proficiency with Microsoft Office Suite; advanced Excel skills preferred.

    + Excellent attention to detail.

    + Ability to exercise good judgment and offer effective solutions.

    + Research and interpret information to resolve issues.

    + Demonstrated ability to work independently as well as in a team, adapting to changing priorities.

    + Strong planning and organizational skills with capacity to meet tight deadlines.

    + Ability to stay calm and effective under pressure.

    + Comfortable working through ambiguity and uncertainty.

    + Capable of analyzing and synthesizing data from diverse sources.

    + Ability to prioritize tasks and determine their relative importance.
