POSITION SUMMARY** **:
The Clinical Supervisor is a frontline operational leader who ensures smooth, compliant, and patient-centered workflows within the clinic. Reporting to the Clinic Manager, this role oversees Medical Office Specialists (MOS) and front desk operations, driving service excellence, accurate registration, and financial integrity. The Supervisor partners with clinical and administrative teams to optimize scheduling, throughput, and customer service standards, supporting organizational goals in access, equity, and quality care. Additionally, the Clinical Supervisor collaborates closely with the finance team to ensure billing accuracy, compliance with regulatory standards, and timely resolution of revenue cycle issues, safeguarding the organization's financial health while maintaining exceptional patient experience.
Operational Oversight & Workflow Optimization** **:
+ Govern daily front desk and MOS workflows, ensuringaccurateregistration, insurance verification, and financial counseling.
+ Monitor queue management and appointment scheduling to reduce wait times and improve patient flow.
+ Audit EPIC documentation for completeness and compliance with billing and UDS standards.
People Leadership & Coaching** **:
+ SuperviseMOSteam; set clear expectations for customer service behaviors (greeting, scripting, service recovery).
+ Conduct competency assessments and provide coaching to sustain high performance.
+ Recognize achievements and address performance gaps through structured feedback and development plans.
Customer Service & Patient Experience:
+ Implement and audit service standards; round in lobby areas to ensure warm, empathetic interactions.
+ Lead service recovery efforts and escalate concerns promptly.
+ Review Press Ganey and comment card feedback; collaborate with Clinic Manager on improvement plans.
Financial Stewardship & Revenue Integrity:
+ Ensureaccuratecopay collection, sliding-fee application, and insurance eligibility verification.
+ Complete daily deposits and close-out functions; reconcile discrepancies promptly.
+ Partner withrevenuecycle team to prevent lost reimbursement opportunities.
Compliance & Quality Readiness:
+ Maintain readiness for HRSA, OSHA, and HIPAA standards;participatein mock audits and corrective actions.
+ Conduct chart reviews for documentation accuracy, especially for grant-funded programs.
Data & Performance Monitoring:
+ Track MOS productivity, registration accuracy, and patient throughput metrics.
+ Share weekly dashboard updates with Clinic Manager; implement countermeasures for variances.
EXPERIENCE REQUIREMENTS** **:
+ Bachelor’s degreeis preferredin Business Administration, Management, orarelated field
+ 3to5+ years of experience insupervising aclinical operationsteam.
+ Ability to manage complexproblem-solvingand influence decision-making.
+ Communication, Organizational, and analyticalskills preferred
