    Summary

    The Administrative Assistant supports the team at Gateway Associates by completing organizational and customer service-related tasks that keep the practice running. They coordinate communication between clients and all department as well as assist in prioritizing workflows for the team’s Lead Advisor(s). The Administrative Assistant reports to and is employed by Gateway Associates.

     

    This is an in-office position in Germantown, WI. Compensation with experience Compensation is $45,000 - $50,000/year dependent upon experience. Benefits include: 80 hours of Paid Time Off and 20 hours Volunteer Time Off in first year,

    Job Description

    Responsibilities: Administrative Assistant has the following responsibilities and duties:

    + Greet all guests upon entrance to office and direct them as needed

    + Guide pre-meeting experience for clients

    + Answer phone calls and direct as needed

    + Perform office opening and closing tasks

    + Maintain office upkeep and appearance between cleanings

    + Maintain inventory of office and hospitality supplies, including ordering

    + Complete seasonal office decorating

    + Create agendas for all routine meetings, i.e. team and check-in meetings

    + Take notes in weekly team meetings

    + Prep folders for in-person meetings

    + Assist Marketing Specialist with client correspondence such as birthday cards , get-well cards , and thank you gifts for client introductions

    + Complete other miscellaneous tasks as assigned by Financial Representatives and/or Director of Operations

    Requirements: Administrative Assistant should have the following skills, education, and experience:

    + 1 - 3 + years of administrative experience

    + Excellent verbal and written communication skills

    + Strong organizational skills and ability to multitask

    + Problem-solving and decision-making skills

    + Ability to act as gatekeeper and escalate relevant information to team as needed

    + Skilled in the use of standard office equipment (e.g., copiers, business telephone systems, fax machines).

    + Ability to work effectively with minimal supervision

    + Strong interpersonal skills

    + Ability to treat confidential information with appropriate discretion

    + Exceptional attention to detail

    + Familiarity with Microsoft Office Suite

    + Time management and ability to meet deadlines

    As part of Gateway Associates' recruiting/hiring/contracting process, a verification of a candidate's background will be made to complete the hiring/contracting process. In addition, fingerprints will be taken for submission to the Federal Bureau of Investigation for review against nationwide fingerprint records.
