    Job Title:** **Payroll Coordinator

    Position Summary:

    The Payroll Coordinator is responsible for overseeing the daily and weekly payroll operations for freelance crew members. This role ensures that all payroll data is accurate, reconciled, and submitted in accordance with company policies and deadlines. In addition to payroll processing, the position supports crew onboarding, profile management, and resolution of payroll-related issues.

    This role provides payroll support for productions including:

    + **NHL Regular Season and Stanley Cup Playoffs**

    + **Big 12 and Big East Basketball**

    + **MLB Regular Season and Postseason**

    + **NCAA March Madness**

    + **Big 12 Football**

    + **Bleacher Report Productions**

    Key Responsibilities:

    + Prepare and submit freelance crew payroll accurately and on schedule.

    + Ensure payroll approvers reconcile and submit data within required timelines.

    + Audit payroll batches and resolve discrepancies.

    + Maintain and update crew profiles, including positions, rates, and personal details.

    + Manage crew databases and provide system access credentials.

    + Communicate payroll deadlines and requirements to departments.

    + Troubleshoot and resolve payroll issues using scheduling and payroll systems.

    + Process payroll data between scheduling and payroll platforms.

    + Support onboarding of new hires and creation of work orders.

    Daily Tasks:

    + Create and update crew profiles with accurate contact, rate, and role information.

    + Generate work orders in the scheduling system.

    + Track and confirm crew time entries.

    + Respond to crew inquiries regarding payroll and system access.

    Weekly Payroll Workflow:

    + Send time entry deadline reminders to schedulers.

    + Create payroll batch and prepare audit reports.

    + Distribute payroll notifications.

    + Send final payroll deadline reminders.

    + Submit final payroll batch.

    + Review and adjust error reports in Workday.

    + Confirm accuracy and completion of work orders from Talent Managers, Production, and Crewers.

    Additional Duties:

    + Serve as backup for payroll processing and time entry tasks.

    + Assist with onboarding, profile creation, and work order maintenance.
