    Overview

     

    Provides broad leadership and strategic direction for surgical and interventional scheduling operations at DHMC including but not limited to: the Main Operating Room (MOR), Center for Surgical Innovation (CSI), Outpatient Surgery Center (OSC), and Endoscopy. Assumes responsibility for mentoring staff, completing all necessary tasks, meeting deadlines, and documenting all activities and results. Responsible for all aspects of surgical and interventional scheduling, ensuring that workflow standardization and maximum efficiencies are met, ensuring quality and safety are the main drivers of all scheduling processes.

    Responsibilities

    * Responsible for oversight of the scheduling functions within the OpTime/EPIC application ensuring smooth, efficient scheduling of all interventional procedures. On a daily basis, oversees the scheduling of operative and interventional procedures and room assignments, collaborating with surgical / procedural schedulers, nurse managers and anesthesia staff as necessary.

    * Works with all departments, surgical service lines, medical specialties and other key stakeholders to maximize efficient utilization of all surgical and procedural interventional capacity and resources.

    * Develops and maintains high standards of quality and performance within areas of responsibility.

    * Ensures effective management and maintenance of the daily surgical and procedural schedules in the (EPIC) electronic medical record system. Ensures timely review, approval and booking of patients and procedures presented for scheduling into the interventional areas, ensuring capacity is optimized.

    * Oversees and directs the design and implementation of workflow changes to increase the efficiency and effectiveness of scheduling and procedural operations. Collaborates with Performance Improvement team(s) to coordinate and direct scheduling improvement pilots and projects. Works directly and collaboratively with surgical and procedural schedulers to improve and standardize scheduling processes and workflows.

    * Develops policies and procedures for surgical and interventional scheduling as it relates to the needs of the individual areas.

    * Serves as primary liaison with surgical and medical specialty departments concerning scheduling of procedures into the interventional suites. Role models service excellence expectations and builds essential intra- and inter-departmental partnerships that support organizational goals.

    * In collaboration with the Perioperative leadership team, maintains master block schedules. Manages block schedule assignments per service and provider within Op Time. This includes changes resulting from exchanges of block allocation, permanent and temporary block reassignments, and opening and closing operating rooms as required.

    * Facilitates a multidisciplinary approach to problem identification and resolution with other departments/sections at D-H as it relates to surgical and interventional scheduling.

    * Assures adherence to institutional policies and procedures related to Human Resources, OR Scheduling, Communication Standards, etc.

    * Performs other duties as required or assigned.

    Qualifications

    * Bachelor’s degree in a related field with a minimum of 5 years of procedural scheduling experience and knowledge of medical terminology, or equivalent experience required.

    * Excellent organizational, written and oral communication and interpersonal skills required.

    * Minimum of 3 years of previous leadership experience

    * Previous experience with OpTime scheduling and reporting desired.

    * The ability to relate and deal effectively with physicians, administrators, support staff, and the general public with a high degree of tact and discretion required.
