Position Description
Responsible for overseeing and supervising the daily operations of the Project Support team.
+ Interact with cross-functional leaders to ensure optimal service.
+ Develop team capabilities and understanding of processes.
+ Lead, supervise and ensure efficient processing of invoices and requisition requests.
+ Manage and balance team member workloads, reacting to changing priorities when required by monitoring processing mailboxes, and KPIs. Make daily assignments, as needed.
+ Resolve process issues.
+ Develop/ modify invoice processing best practices.
+ Participate in new/upgrades product development meetings as a core team member.
+ Identify and champion process improvement activities.
+ Initiate and maintain positive relationships with Project Management, Project Controls, Operations, and Accounting functions.
+ Train team on new procedures and inform them of changes to current procedures.
+ Develop, monitor, and report key performance measures.
Position Requirements
Education
Bachelors’ Degree in Business (with emphasis in Finance or Accounting), Engineering, Construction Science, or equivalent professional experience.
Competencies and Skills
+ Proficient with computer applications, including Microsoft Excel, Access, Word, Power Point, and Outlook.
+ Well versed with accounting and procurement systems related to invoice processing and materials/services requisition systems.
+ Demonstrated collaborative and critical thinking skills.
+ Must be flexible and able to work effectively in a team environment and consistently maintain a professional and respectful demeanor/ attitude with co-workers, customers/ clients, vendors, auditors and regulatory agencies.
+ Organization skills and the ability to prioritize tasks are essential.
+ Must be a problem solver with the ability to find resolutions to various problems.
+ Will strive for continuous improvement.
+ Understand invoicing for various contract arrangements including Time and Material, Unit Cost, and Lump Sum projects.
+ Understand Request for Materials/ Services (RFM/ RFS) processes.
+ Identify inconsistencies in processes and quickly provide solutions to reestablish guidelines to ensure the entire team is following correct procedures.
+ Promote open, ethical, and continuous communications between team members, various departments, and customers.
+ Supervise and develop a highly motivated workforce along with managing employee performance issues and the performance management process; conduct mid-year and annual performance reviews.
+ Must be self-motivated and capable of working with minimal supervision and/ or direction.
+ Required to carry a cell phone and respond to work issues as needed during critical times.
+ Perform other duties as required by the OSG PM Management team.
Experience / Specific Knowledge:
+ Minimum seven years of experience with primary focus on supervising/managing invoice and requisition processing responsibilities.
+ Experience with team building, resource planning, and procurement.
+ Requires comprehensive knowledge of financial and accounting systems.
+ Requires strong communication and leadership skills as well as strong analytical skills to solve problems and determine appropriate courses of action.
+ Training and experience in large-scale project cost control management.
Working Conditions:
+ Majority of work will be performed in an office environment.
+ Availability to travel to multiple sites throughout the United States. Travel will be minimal.
