What the day will look like
The Executive Assistant (EA) provides administrative support to the Executive Managing Director of Reinsurance and their team. Support ranges from clerical and logistical matters to document production and the effective use of office e applications in our Chicago office.
The EA responds promptly, thoughtfully, and effectively to changing work environments, changing priorities, and new situations. Additionally, the EA possesses the skills and ability to communicate effectively and appropriately with internal resources, clients (where applicable), and other parties in a global and virtual working environment. The EA is integral to the efficient workflow within the office environment.
+ Communicates in person and through correspondence with high level contacts inside and outside the company such as vendors, customers, and senior leadership.
+ Schedules and coordinates meetings, conference calls, and other events. Informs attendees of function dates and times, reserves meeting space, and provides hospitality services as needed in these meetings.
+ Maintains and manages calendars; including heavy coordination of travel arrangements and itineraries.
+ Book international/domestic travel and submit expenses for the local leadership team.
+ Makes copies of correspondence and other printed matter.
+ Ensures adequate office supplies.
+ Processes purchase requests for additional office supplies as needed.
+ Active approval management support – including but not limited to Coupa, IT, Workday, Travel.
+ Assist with e-mail gating and prioritization.
+ Act as a key resource for the team, i.e., independently seek out answers to questions, take initiative, leverage network of resources to solve problems and proactively cascade knowledge.
+ Assist with on-boarding of new hires in the GSM Business Unit; submit service tickets and follow up on equipment delivery.
+ Other duties as assigned.
Skills and experience that will lead to success
+ 5+ years of experience as an Administrative Assistant, Clerical Associate, Receptionist or related position providing Corporate Administrative Support
+ High School Diploma, GED or equivalent years of related experience
+ Proficiency with Microsoft Office.
+ High energy, positive attitude, willingness to go the extra mile to ensure success.
+ Easily embraces change, flexible, adapts well to changing priorities.
+ Poise, confidence, and maturity to engage with all levels of management across the firm.
+ Highly organized with ability to prioritize and work on multiple projects at one time.
+ Able to prioritize daily workload, be proactive, flexible and respond to requests promptly.
+ Attentive to details and possess strong follow-up skills.
+ Excellent writing and communication skills.
+ Self-directed and able to anticipate team needs.
+ Excellent communication skills, written and oral.
+ Able to excel in a fast paced, detail-oriented environment.

The salary range for this position (intended for U.S. applicants) is $63,000 to $83,000 annually. The actual salary will vary based on applicant’s education, experience, skills, and abilities, as well as internal equity and alignment with market data.
