Healthcare Intake Supervisor

We are seeking an experienced Intake specialist to lead and manage the day-to-day activities of the Portals team for a large home health care company in San Diego . This role is critical in ensuring efficient referral processing and seamless coordination across multiple systems and internal teams.
Key Responsibilities:
+ Supervise the intake team, including workload assignment, scheduling, coverage planning, and workflow prioritization to achieve departmental goals.
+ Manage referral intake from various sources using multiple electronic referral systems.
+ Oversee end-to-end portal referral processing—from receipt, triage, and eligibility screening to acceptance, documentation, and timely handoff to Intake/Clinical teams.
+ Ensure accurate entry of patient demographics, diagnoses, orders, and service lines; promptly resolve missing or incorrect information.
+ Act as the subject matter expert (SME) for portal workflows, settings, permissions, and best practices across all platforms.
+ Troubleshoot portal issues and collaborate with IT for ticketing, integrations, and system upgrades.
+ Maintain and update SOPs, job aids, and quick-reference guides for platform-specific processes.
+ Guide the team on payer requirements, medical necessity basics, and documentation standards.
+ Coordinate verification of benefits, eligibility, and prior authorization workflows to support timely starts of care.
+ Escalate complex payer barriers and work closely with the Revenue Cycle team to resolve delays.
Additional Skills & Qualifications
+ Strong communication, organizational, problem-solving, and multitasking skills.
+ Ability to collaborate effectively with internal teams, including Marketing, Clinical, Insurance Authorization, and Scheduling.
+ In-depth knowledge of Medicare/insurance reimbursement, regulations, service lines, and coordination standards.
Requirements
+ Minimum of 3 years of Home Health Intake experience.
+ Prior experience managing teams.
+ Background as an Insurance Verification Supervisor or Patient Access Supervisor is acceptable, provided intake experience is included.

This is a Contract to Hire position based out of San Diego, CA 92108.
Pay and Benefits
The pay range for this position is $30.00 - $37.00/hr.
