Position Summary
The Logistics Administrative Supervisor is responsible for overseeing the administrative, documentation, reporting, and coordination functions supporting fulfillment and distribution operations for a key customer account within a 35,000+ square foot facility. This role ensures all inbound, outbound, inventory, billing, and reporting activities are executed accurately, on time, and in compliance with customer SLAs.
Working closely with the Logistics Manager, this position serves as the administrative backbone of the account—supporting operational continuity, customer communication, system accuracy, and performance reporting. The ideal candidate demonstrates strong organizational skills, attention to detail, and the ability to support both leadership and frontline teams while maintaining consistent workflow during staff absences.
Core Responsibilities & Duties
Administrative & Customer Support
+ Serve as the primary administrative point of contact for the customer, managing daily email correspondence, reporting, and documentation needs
+ Support customer-facing meetings, video conferences, presentations, and follow-up action items
+ Act as a central escalation point for administrative and documentation-related inquiries
Documentation & Systems Management
+ Ensure accurate preparation, review, and maintenance of shipping documentation including BOLs, commercial invoices, and customs-related paperwork
+ Maintain data integrity within the Warehouse Management System (WMS) and related reporting tools
+ Serve as liaison to IT for system access issues, data discrepancies, and administrative technology support
Inventory & Reporting
+ Coordinate and document daily inventory audits and cycle count results
+ Compile, analyze, and distribute daily, weekly, monthly, and quarterly KPIs and performance metrics
+ Support inventory investigations and reconciliation activities in collaboration with operations leadership
Billing & Compliance
+ Perform account-specific costing, billing validation, and invoice reconciliation
+ Assist with risk assessments, quality investigations, and corrective action documentation
+ Ensure compliance with internal processes, customer requirements, and safety standards
Team & Workflow Support
+ Provide administrative oversight and support to account-dedicated staff (10+ team members)
+ Assist with onboarding, training coordination, and documentation tracking
+ Cross-train across administrative functions to ensure continuity during staff absences
+ Support continuous improvement initiatives related to administrative efficiency and data accuracy
+ Perform other related duties as assigned
Job Requirements & Qualifications
+ High School Diploma or GED required
+ Associate’s or Bachelor’s degree preferred
+ 3–5 years of administrative, logistics, warehouse, or 3PL support experience
+ Experience supporting operations within a warehouse or distribution environment
+ Strong understanding of supply chain documentation and administrative workflows
+ Proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook) with strong reporting skills
+ Experience with WMS platforms (CargoWise One preferred)
+ Familiarity with KPI tracking, performance reporting, and billing support
+ Ability to manage multiple priorities with strong attention to detail
+ Strong written and verbal communication skills
+ Cultural awareness and ability to work with diverse teams
+ Knowledge of 5S, Lean, or continuous improvement methodologies is a plus
