The Charter School for Applied Technologies (CSAT) opened its doors in 2001 as a 700-student school serving grades K-6. Today, CSAT is a busy campus consisting of three distinct buildings (Elementary, Middle and High Schools), that host approximately 2,300 students from 19 different school districts throughout WNY.

Summary
The Registrar oversees all student enrollment, registration, and records management processes at CSAT. The Registrar is responsible for ensuring compliance with state and authorizer requirements, maintaining accurate student data, and delivering a family-centered enrollment experience. The ideal candidate is organized, detail-oriented, customer-service driven, and able to manage high-volume tasks within strict timelines.
Enrollment & Registration
+ Lead the full enrollment cycle, including Open Enrollment, lotteries, student placement, registration, and annual re-enrollment.
+ Maintain and execute a compliant, transparent lottery process in accordance with state charter school law.
+ Communicate regularly with prospective and newly admitted families to ensure strong engagement and follow-through.
+ Manage the CSAT enrollment portal, ensuring accurate data entry and timely submission of required documents.
+ Conduct ongoing enrollment forecasting and provide enrollment status reports to school leadership as needed.
Student Records & Compliance
+ Maintain accurate, secure student records in compliance with FERPA, state guidelines, and authorizer requirements.
+ Process student transfers, withdrawals, cumulative files, and transcript requests.
+ Coordinate and ensure timely submission of state reporting (e.g., BEDS/NYSED, CALPADS, PIMS—customizable for your state).
+ Verify residency, age, immunization records, and other eligibility documentation.
Data Management & Operations Support
+ Ensure data accuracy within Student Information Systems (e.g., PowerSchool, Infinite Campus, SchoolMint, etc.).
+ Collaborate with key teams (operations, special education, transportation, food service) to ensure student data is up-to-date and communicated.
+ Support operations during peak periods such as the start of school, testing windows, and end-of-year transitions.
+ Analyze enrollment trends and recommend strategies to support student recruitment and retention.
Family Engagement
+ Serve as the primary point of contact for enrollment questions and support.
+ Provide high-quality customer service and ensure a welcoming experience for all families.
+ Host enrollment events, campus tours, information sessions, and onboarding/orientation sessions for new students and families.
Qualifications
+ Bachelors degree OR equivalent professional experience.
+ 2-4 years of experience in K-12 school or higher education operations, student records, enrollment, or customer service.
+ Strong proficiency in student information systems and data-entry environments.
+ Excellent organizational skills and attention to detail.
+ Ability to maintain confidentiality and manage sensitive information.
+ Strong communication skills and a customer-service mindset.
Preferred Qualifications
+ Experience in a charter school or K-12 educational setting
+ Familiarity with New York State specific enrollment and reporting requirements
+ Bilingual proficiency (e.g., Spanish) highly valued
