Responsibilities:
Responsible for the creation of university ID's and card reader access database revision and integrity. Prepares written policies and procedures for the creation/maintenance of ID's. Coordinates staff training. Ensures electronic equipment used for ID production environment remains constant. Maintains the integrity and confidentiality of University wide identification card/access control databases, ensuring system security at all times consistent with Homeland Security and University of Rochester recommendations. Provide reports and control requests from authorized parties for the release of confidential and sensitive information associated with ID and access control data. Performs accounting and deposit duties for cash handling operations associated with daily business operations at the University ID Offices.
ESSENTIAL FUNCTIONS
+ Introduces and onboards new staff to the operations and responsibilities of the ID offices. Ensures annual staff mandatories are completed. Provides educational material to staff to facilitate the learning process.
+ May supervise and/or train the work efforts of lower level staff. Develops and plans employee schedules to meet operational needs. Assigns accountabilities and reviews completed work for accuracy. Provides consistent feedback to staff on performance and achievements. Meets regularly with staff for information exchange and educational events.
+ Creates, updates, and maintains written policies for the creation of University ID cards. Creates and updates written procedures/handbook for the creation of University ID’s.
+ Acts as representative of the department for service and institutional meetings.
+ Serves as point person for the management of complaints and concerns. Serves as a front-line problem solver.
+ Answers correspondence and other inquiries involving the interpretation of University as well as departmental policy, regulations, procedures, as it relates to ID policy.
+ Accounts and validates daily cash intakes and performs cashier deposits of office revenues. Prepares office funds bank drawers for next business day use. Performs routine audits to ensure integrity of data.
+ Coordinates and oversees remote/mobile ID sessions. Coordinates and processes requests for photo exports from the ID database. Utilizes software to create and print University IDs with the appropriate information. May keypunch and/or type data into the database by way of a computer. May perform typing, filing, fill-in on other positions, and any other duties of similar scope and complexity in regular combination with this position.
+ Coordinates staff work/vacation/break schedules between offices.
+ Acts as a liaison with physicians, faculty, staff, and students to assess and assist in ID needs.
+ Other duties as assigned.
MINIMUM EDUCATION & EXPERIENCE
+ Associate's degree required
+ Bachelor's degree preferred
+ Or equivalent combination of education and experience
KNOWLEDGE, SKILLS AND ABILITIES
+ Experience in office management and training required
+ Experience in customer service office and storefront environment required
+ Strong analytical, organizational, communication skills and attention to detail required
+ Knowledge of Lenel Badging/ Access Control software applications required
+ General accounting knowledge required
LICENSES AND CERTIFICATIONS
+ DL NUMBER - Driver License, Valid and in State required
