The Event Planner 1 position exists to provide basic planning, execution, and follow-up for onsite events. Additionally, this position will support the Working Supervisor on events. Requires general direction and may work independently; refers unusual or complex problems to planners or supervisor.
Essential Duties/Responsibilities:
+ Acts as a logistical lead in planning, execution, communication, and documentation of all assigned events ranging from micro to medium scale
+ Assists the Working Supervisor and Planners to execute logistical plans that support goals and objectives for large and extra-large events
+ Ensures all clients and event owners experience the highest level of care and communication throughout the planning and execution process
+ Provides and maintains consistent, regular, comprehensive communication and documentation, including participation in relevant events, keeping calendars, event information, attendee lists and other event related information to clients and the Working Supervisor
+ Works effectively with various departments to ensure strong collaboration, partnerships, and successful events assuring prompt follow through on assigned tasks and responding quickly to requests for information
+ Coordinates meetings for all assigned events and presents ongoing event progress and reports to client and Working Supervisor
+ Develops and executes timelines in support of established deadlines for assigned events
+ Manages expenditures and income throughout the event planning process and creates a final accounting at the conclusion of each event
+ Participates in status meetings of progress toward project/event completion
+ Manages post-event communication, debriefs, and documentation archival for all assigned events
+ Executes organizational plans for inventory and event spaces
+ Assures data accuracy on event database for all assigned events
+ Supports Working Supervisor on monthly and annual reporting on general event data
+ Builds and maintains registration pages for all assigned events as needed, including all post-event documentation
+ Gathers and prepares all assigned event materials; set up room or spaces according to event plan
Other Duties/Responsibilities:
+ Performs general office duties (e.g., filing, typing, data entry, etc.)
+ May assist with volunteer coordination for large and extra-large events
+ Performs other duties as assigned
Working Environment/Physical Requirements:
+ Must be able to pass a Post Offer Prehire Physical exam
+ Office environment
+ Ability to lift and carry up to 50 lbs. on a consistent basis
+ Standing for extended periods of time
+ Ability to push up to 100 lbs. on a consistent basis
+ May be required to work occasional weekends and overtime
+ Requires repetitive tasks/motions, good eye-hand-foot coordination, good manual dexterity, and able to distinguish colors
+ Must be able to hear alarms/phone/answering machine and voice mail messages/normal speaking voices

Knowledge/Experience:
+ Associate’s degree preferred
+ 6-12 months of experience in planning and implementing events or other functions preferred
+ Experience in the hospitality industry helpful

+ Proficient in the use of computer hardware and software
+ Proficient in MS Office (MS Word, MS Excel, MS PowerPoint)

Stewardship Requirements:
+ In cooperation with meeting owner’s leadership, is responsible for all assigned event budgets
Pay Range : $17.00 to $19.75 / hour
