The Jacobs Irvine, California office has an immediate need for an experienced Project Delivery Coordinator (PDC). This position will directly assist our California Water Market team.
As a PDC you’ll have the opportunity to work in our hybrid environment and be responsible for supporting project/program activities, working in conjunction with Project Managers. You’ll play a critical role in the success of our project teams by taking on tasks from the Project Managers allowing them to focus on client relationships and project leadership. You’ll oversee the daily administration needs, communications, project support functions, and Project Manager-assigned tasks. You may also provide a wide variety of administrative, and staff support services as needed. Using your experience, you’ll be comfortable interfacing with project managers, engineers, technical staff, internal company functions, subconsultants and clients.
You’ll be able to work with minimal supervision, multitask effectively, use independent judgment, and have the initiative to take on new tasks and challenges. You’ll use your experience-based judgment to evaluate situations and develop solutions and work with minimal oversight to achieve assignment outcomes and manage their own workload. Your work is frequently complex, proprietary, and confidential, and requires strong administrative skills as well as needs excellent interpersonal and team communication skills. Some examples of daily work may include, but not limited to, the following:
* Create Budget Summary reports through Excel
* Assist with project budget forecasting
* Review invoices for completeness and accuracy, including labor, expense and subconsultant costs
* For larger programs, lead invoice coordination activities internally and with client
* Prepare new subcontract requests
* Serve as central point of contact during the project execution
* Bachelor’s degree in business, finance or similar discipline, or equivalent experience.
* Understand fundamental project management methodology.
* Possess strong critical thinking, problem solving, organizational and analytical abilities.
* Adept at taking responsibility for multiple assignments, prioritizing conflicting tasks, and working with little supervision to meet deadlines.
* Strong interpersonal skills, with the ability to work on a highly professional level with clients, subconsultants and internal team members.
* Ability to work well independently and on a team.
* Must be willing to help where needed.
* Ability to work with, and take direction from, multiple levels of professional staff.
* Proficiency with Microsoft Word, Excel, and Outlook.
Ideally, you’ll also have:
* Background with Design, Engineering or Construction company operations.
* A basic understanding of SharePoint, Adobe Acrobat, or Bluebeam.
* A general understanding of Microsoft Project (scheduling), PowerPoint, and Visio.
