Description We are looking for an experienced Executive Assistant to join our team in Bloomington, Minnesota. In this Contract to permanent role, you will provide high-level administrative support to executive leadership, ensuring seamless coordination and execution of essential tasks. This position offers an opportunity to contribute to the healthcare industry through effective organization and communication.
Responsibilities:
• Organize and oversee all aspects of Board of Directors, Executive Management Committee, and Membership meetings, including preparation of agendas and execution of details.
• Act as secretary for executive meetings, recording and preparing accurate and thorough minutes.
• Collaborate closely with board members, elected officers, and executives to maintain effective communication and provide necessary resources.
• Develop, proofread, and finalize correspondence, memos, and reports with precision and attention to detail.
• Ensure electronic and physical files are systematically organized and secure for easy access and confidentiality.
• Assist in the creation and execution of agendas and leadership events for executive and board meetings.
• Manage sensitive information with discretion, maintaining a high standard at all times.
• Update and distribute the Board policy manual and prepare orientation materials for new members.
• Collect and publish corporate minutes for the association and its subsidiaries, ensuring accuracy and compliance. Requirements • Proven experience in executive-level administrative support, preferably within the healthcare sector.
• Proficiency in managing calendars, coordinating travel arrangements, and organizing meetings.
• Strong skills in drafting, proofreading, and preparing detail-oriented documents.
• Demonstrated expertise in planning and executing projects with attention to detail.
• Advanced knowledge of Microsoft Office applications, including Word, Excel, and PowerPoint.
• Adept at preparing and distributing meeting agendas and presentations.
• Exceptional organizational and communication abilities.
