Description
We are looking for an Administrative Assistant to provide essential support for a local organization located in the Greater Philadelphia Region. As an Administrative Assistant, in this long-term contract role, you will handle diverse administrative tasks, to ensure smooth daily operations and maintaining the accuracy and confidentiality of records. This is a great opportunity to contribute to an organization dedicated to serving the community.

• Scan and digitize documents to create electronic records for efficient storage and retrieval.
• Organize and maintain departmental files, ensuring all records are properly labeled and accessible.
• Perform accurate data entry to update and track essential information.
• Collect and categorize various documents, including correspondence, receipts, and forms, for record-keeping purposes.
• Ensure the confidentiality and security of sensitive information and records.
• Monitor transactions, client records, and ownership documentation, ensuring proper organization.
• Prepare well-crafted correspondence, reports, and other documents as needed.
• Respond to inquiries and provide customer support via phone or email.
• Utilize software tools such as Adobe Acrobat and Epic Software to perform administrative tasks.
• Assist with additional duties as assigned to support departmental goals.
Requirements
Other requirements for the Administrative Assistant position include and are not limited to:
• High School Diploma or equivalent, with formal post-secondary education preferred.
• A minimum of 3+ years of experience in administrative support or a related field.
• Proficiency in general office practices, including filing systems and records management.
• Strong knowledge of business English, including grammar, spelling, and punctuation.
• Familiarity with software tools such as Adobe Acrobat, Epic Software, and IBM AS/400.
• Ability to perform clerical duties such as preparing correspondence and organizing files.
• Skilled in handling inbound calls and addressing public inquiries professionally.
• Excellent verbal and written communication skills with attention to detail.
