    Description

    We are looking for a detail-oriented Administrative Assistant to join our team in Crystal Lake, Illinois. This is a contract-to-permanent position and experience within the property management industry is required. Looking for someone who thrives in a fast-paced environment and enjoys handling a variety of administrative tasks. The ideal candidate will bring excellent organizational skills and a proactive approach to supporting daily operations.

    Responsibilities:

    • Provide administrative support, including managing schedules, organizing documents, and maintaining records.

    • Handle incoming calls professionally and direct inquiries to the appropriate team members.

    • Perform data entry tasks with precision to ensure accuracy and completeness.

    • Greet visitors and manage receptionist duties, creating a welcoming environment.

    • Utilize Microsoft Office and Google Suite tools to prepare reports, presentations, and correspondence.

    • Coordinate office activities, ensuring smooth daily operations and timely communication.

    • Support property management-related tasks and assist in maintaining property records.

    • Conduct follow-ups and respond to client inquiries in a timely manner.

    • Collaborate with team members to streamline workflows and improve efficiency.

    • Assist with other administrative tasks as needed to support the team.

    Requirements

    • Proven experience as an Administrative Assistant and within the property management industry.

    • Proficiency in Microsoft Office and familiarity with Google Suite applications.

    • Strong organizational skills with the ability to manage multiple priorities simultaneously.

    • Excellent verbal and written communication skills.

    • Ability to handle incoming calls and provide attentive customer service.

    • Experience with data entry and maintaining accurate records.

    • Adaptability and willingness to learn new tools or software.

    • Prior experience with Buildium software is a plus but not mandatory.
