Description We are looking for an experienced Administrative Assistant II to join our team in New York, New York. In this role, you will support daily operations by performing diverse administrative tasks, ensuring efficiency and accuracy in all assignments. This is a long-term contract position ideal for someone who thrives in a fast-paced environment and enjoys providing organizational support.
Responsibilities:
• Schedule and manage appointments and meetings to ensure smooth daily operations.
• Respond to inquiries and provide relevant information to callers and colleagues.
• Draft and edit memos, reports, and presentations with attention to detail.
• Transcribe notes and take dictation in support of accurate documentation.
• Conduct research and compile data to assist in creating comprehensive analyses.
• Prepare and monitor invoices, ensuring timely processing and accuracy.
• Manage expense reports and assist in budget preparation and development.
• Coordinate multiple projects simultaneously while adhering to deadlines.
• Maintain familiarity with established procedures and practices to ensure efficiency.
• Collaborate closely with supervisors and managers to support overall goals. Requirements • High school diploma or equivalent education required.
• 2-5 years of experience in administrative or related roles.
• Proficiency in scheduling appointments and managing calendars.
• Strong skills in drafting presentations, memos, and reports.
• Familiarity with financial procedures, including invoicing and expense tracking.
• Ability to transcribe dictation and compile detailed notes.
• Knowledge of research and data analysis techniques.
