Job Overview:
APTIM is seeking a detail-oriented, tech-savvy, and collaborative Proposal Coordinator Intern to join our proposal team. This intern will support the corporate proposal team in preparation, organization, and submission of high-quality proposals in response to client and government Request for Proposals (RFP), Requests for Quotes (RFQ), and Requests for Information (RFI). The intern will also support the implementation of the company's AI-driven RFP software, provide critical data management support, and assist with the accuracy, integrity, and accessibility of proposal and project data across multiple platforms. This internship offers hands-on experience in proposal development, coordination, compliance, AI, data management, and business operations within a fast-paced, collaborative, and professional services environment. Please note that this is a temporary position.
The STRIVE Internship Program is a 12-week experience running from **May 18, 2026 through August 7, 2026.** Interns are required to be fully available during **Week 1 (May 18--22)** and **Week 12 (August 3--7)** of the program. Week 12 includes **company-paid travel to an APTIM office** (location to be announced) for an end-of-internship celebration.
Interns are expected to minimize absences to ensure a meaningful program experience. The program observes **Memorial Day (May 25, 2026) and Independence Day (July 3, 2026, observed** ).
Key Responsibilities/Accountabilities:
+ Assist with the coordination and preparation of proposals, qualifications, and marketing materials.
+ Assist with writing resumes and project descriptions.
+ Format documents, resumes, project descriptions, and graphics to ensure consistency and brand compliance.
+ Track proposal deadlines, milestones, and deliverables.
+ Maintain proposal files, templates, and content libraries.
+ Assist with compliance checks to ensure proposal requirements are met.
+ Coordinate with technical staff, marketing, and business development team members for content collection.
+ Proofread and edit documents for grammar, layout, and accuracy.
+ Assist with post-submission activities and proposal closeout documentation.
+ Assist the AI Administrator by working with business lines to develop or update libraries of proposal content (resumes, project descriptions, boilerplate content) that will be integrated to improve the quality of proposal content.
+ Assist Digital Asset Administrator with data cleansing, standardization, metadata management, and disposal.
+ Assist Proposal Database Administrator with proposal closeouts (proposal library, resumes, projects, headcount, adding metadata).
+ Support the proposal team with data call responses and internal reporting needs.
Basic Qualifications:
+ Strong analytical, organizational, and problem-solving skills.
+ Ability to work independently and in a team environment.
+ Minimum cumulative 3.0 GPA with at least 60 hours of coursework completed.
+ Must be at least 18 years of age.
+ Must be a self-starter, excel in time management, and work well under pressure.
+ Currently pursuing a Bachelor's degree in Business, Marketing, Communications, English, Engineering, Construction Management, or a related field.
+ Strong organizational and time-management skills.
+ Excellent written and verbal communication skills.
+ High attention to detail and accuracy.
+ Proficient in Microsoft Word, Excel, PowerPoint, SharePoint, Teams, and Adobe Acrobat.
+ Experience using AI such as Copilot, ChatGPT, and others.
+ Ability to manage multiple tasks and meet deadlines.

As of the date of this posting, a good faith estimate of the current pay range for this position is $25 to $28 per hour. Compensation depends on several factors including experience, education, key skills, geographic location of the position, client requirements, external market competitiveness, and internal equity among other employees within APTIM.
