Responsibilities:
The Board Services Administrator is primarily responsible for developing and managing the operational plan and functional operations of the Board Committees for which the EVP is responsible. As a critical member of the Office of the EVP, the Board Services Administrator ensures the board committee procedures and documentation are compliant with University policy, that Trustees and University attendees are informed of committee operations and that minutes capture an accurate account of committee matters for official University records. This position works closely with all Office of the EVP staff in a fast-paced, team-oriented, high-visibility environment and serves as a primary liaison on board operations matters to the President’s office, Secretary of the Board, University Board of Trustee members, board committee chairpersons and their support staff.
This position requires confidentiality, professionalism, and exceptional attention to detail.
**Essential Functions** :
+ Develops processes and procedures needed to support the board of trustees committee meetings managed or attended by the EVP. Duties include but are not limited to maintaining committee charters and relevant documentation, developing meeting schedules, communications and logistics, tracking, maintaining and archiving approved committee material. Works closely with board of trustee committee chairpersons, other board members and internal stakeholders to ensure consistent and timely operations and tracking.
+ Attends board committee meetings to document attendance, develop meeting minutes and manage presentation material (virtually and in person as needed). Manages the distribution, storage and archival of committee results such as resolutions, or action items.
+ Works collaboratively with the Secretary of the Board regarding board governance processes and protocols, and EVP Senior Leadership to streamline the board meeting processes.
+ Provides back-up coverage when other administrative support staff are out of the office to ensure the office functions smoothly.
+ Other duties as assigned.
Minimum Education & Experience:
+ Bachelor’s degree in a related administrative field and 3 years of administrative experience, with at least 2 of those years supporting senior executives or board members required.
+ Master's degree preferred.
+ Experience in an executive-level or higher education administrative office setting, or paralegal certification or experience required.
+ Experience in corporate governance or legal compliance preferred.
+ 5-7 years in a board administration, executive, or senior executive level administrative support capacity preferred.
+ Or equivalent combination of education and experience.
Knowledge, Skills & Abilities:
+ Strong organizational and time management skills, with the ability to handle multiple tasks and deadlines required.
+ Excellent written and verbal communication skills required.
+ Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Zoom, and Adobe Acrobat. Willingness to learn and become proficient in other applications as needed, such as Monday.com and BoardEffect required.
+ Ability to handle confidential information with discretion and integrity required.
+ Professional interpersonal skills required.
+ Ability to interact with a broad range of internal and external constituencies, including senior executives and Trustees required.
+ Flexibility to work outside of regular business hours as needed for board meetings and events required.
+ Ability to work both independently and as part of a team required.
+ Strong attention to detail and accuracy required.
