Academic Program Administrator
The Catherine and Joseph Aresty Department of Urology at the Keck School of Medicine of USC is seeking a highly motivated and results-oriented Academic Program Administrator to manage its specialized fellowship programs. This position is ideal for a proactive team player who excels at managing multiple complex tasks in a high-energy environment while consistently producing high-quality results. The successful candidate will maintain a welcoming, professional, and diplomatic demeanor.
The Academic Program Administrator is central to the success and operation of the department’s clinical fellowship programs. The Academic Program Administrator will administer the clinical fellowship programs which are the Robotic Urologic Oncologic (URO), Society of Urological Oncology (SUO), Endourology (Endo) and Urogynecology and Reconstructive Pelvic Surgery (URPS) Fellowship for the Department of Urology.
Core Duties:
+ Program Administration: Administer and coordinate the day-to-day needs of the fellowship programs, including complex scheduling, meeting management, and operational support.
+ Strategic Development: Identify opportunities and contribute to the execution of short- and long-term program strategies, including curriculum development, process improvement, and strategic planning.
+ Operational Support: Manage overall program operations, administrative functions, faculty speaking engagements, and affiliated faculty programs.
+ Communication & Diplomacy: Serve as a primary point of contact, requiring superior communication, organizational, and interpersonal skills to interface professionally with faculty, fellows, university leadership, and university supporters/volunteers.
Required Qualifications:
• Minimum Education: Bachelor's degree (or equivalent combination of education and experience).
• 3 years of administrative or project administration experience
Preferred Qualifications:
+ 5 years of administrative or project administration experience
+ Experience in a complex medical or academic development setting encouraged.
+ Excellent communication skills – both written and verbal.
+ Comfortable interfacing with highest level of university leadership and university supporters/volunteers.
+ Demonstrated affinity for diplomacy and the ability to cultivate and maintain relationships at all levels.
+ Practices a high level of integrity and honesty in maintaining confidentiality.
+ Ability to multi-task effectively and demonstrate strong organizational skills.
+ Sound judgment and decision making
+ A cooperative and team-oriented attitude
+ Effective facilitator in various settings
Follows established USC and department policies, procedures, objectives, performance improvement, attendance, safety, environmental, and infection control guidelines, including adherence to the workplace Code of Conduct and Compliance Plan.
This position is fully on-site and employee must report to work at the USC Health Science Campus in Los Angeles, CA when scheduled. Work hours and on-site days may be subject to change depending on business needs.
The annual budgeted salary range for this position is $75,089.46 - $79,567.56 When extending an offer of employment, the University of Southern California considers factors such as (but not limited to) the scope and responsibilities of the position, the candidate's work experience, education/training, key skills, internal peer equity, federal, state and local laws, contractual stipulations, grant funding, as well as external market and organizational considerations.

Proven ability to plan, implement, and coordinate program logistics. Demonstrated database/data entry experience. Proven project management and problem solving skills, able to handle multiple timelines, changing priorities, and fluctuating workloads. Preferred Education: Bachelor's degree Preferred Experience: 5 years working in higher education.
