    Job Title: Support SpecialistJob Description

     

    This role as an Administrative Support Specialist will provide comprehensive administrative, operational, and logistical support to an Engineering team within a Utilities organization. This role ensures smooth day-to-day operations by managing timekeeping, expenses, invoicing workflows, fleet coordination, meeting support, and general office functions while serving as a key point of contact for internal and external stakeholders.

    Responsibilities

    + Manage timekeeping activities for a team of approximately 30 employees using internal systems.

    + Process business expense submissions, ensuring accuracy, compliance, and timely approvals.

    + Maintain confidentiality and data integrity throughout all time and expense processes.

    + Process contract invoices using internal systems (e.g., CAMP or equivalent platforms).

    + Review invoice details for accuracy and proper documentation.

    + Coordinate with internal engineering groups, project teams, or contractors to resolve discrepancies and maintain continuity.

    + Maintain inventory and order office supplies, including technical and safety-related items such as hard hats, safety glasses, gloves, and other PPE.

    + Ensure supplies meet departmental needs and safety standards.

    + Provide logistical support for meetings of various sizes, including cross-department events.

    + Reserve appropriate meeting rooms and coordinate food and beverages.

    + Ensure audio/visual equipment is functional and ready for use.

    + Serve as a point of contact during meetings to troubleshoot A/V or room setup issues.

    + Act as liaison with the Fleet Garage to manage a small fleet of approximately 3 vehicles.

    + Schedule routine maintenance, track vehicle usage, and ensure compliance with fleet policies.

    + Partner with other administrative assistants to ensure seamless operational coverage.

    + Provide back-up administrative support as needed, including support for large building-wide events.

    + Foster a collaborative environment with strong interpersonal communication.

    Essential Skills

    + Proficient in data entry and Microsoft Office, including Excel and Outlook.

    + Strong organizational skills with the ability to manage multiple concurrent tasks.

    + Detail-oriented with a focus on accuracy in financial and administrative processes.

    + Customer-service oriented, professional, and able to work independently or as part of a team.

    + Strong communication skills and comfort working with various groups across engineering and utilities operations.

    Additional Skills & Qualifications

    + Experience with internal business systems and order entry.

    + Strong computer and clerical skills.

    Work Environment

    The position will be in an office setting with some flexibility. The role requires working 8 hours a day, Monday through Friday, at the Energy Center located at the Colonnade, at the intersection of 459/280.

     

    Job Type & Location

     

    This is a Contract position based out of Birmingham, AL.

    Pay and Benefits

    The pay range for this position is $22.00 - $25.00/hr.
