    Description

    Key Responsibilities:

    Accounting & Finance

     

    + Match credit card transactions with receipts and verify accuracy.

    + Perform bank reconciliations and maintain accurate general ledger entries.

    + Enter payables and manage data entry in QuickBooks Online/Desktop.

    + Support grant reporting by organizing and filing payables in compliance with reporting requirements.

    + Maintain proper documentation for audits and financial reviews.

     

    Records Management & HR Support

     

    + Review and organize 26 years of HR retention records; identify documents for legal retention vs. secure destruction.

    + Coordinate shredding and ensure compliance with document destruction policies.

    + Verify legal requirements for document retention and maintain compliant filing systems.

    + Prepare hard-copy files for scanning and digital archiving.

    Administrative Duties

    + Perform clerical filing and maintain organized physical and digital records.

    + Assist with sorting, indexing, and scanning documents for electronic storage.

    + Collaborate with HR and Finance teams to ensure compliance and accuracy.

    Requirements

    Qualifications:

    + Required:

    + 2+ years of experience in accounting or bookkeeping (AP, bank reconciliations).

    + Proficiency in QuickBooks Online/Desktop and Microsoft Excel.

    + Strong understanding of general accounting procedures.

    + Ability to handle confidential information with discretion.

    + Preferred:

    + Experience with grant reporting documentation.

    + Familiarity with HR document retention laws and compliance standards.

    + Knowledge of scanning and document management systems.
