Description
We are looking for a detail-oriented and organized Receptionist to join our team in Boston, MA. This contract position requires a customer-focused individual to serve as the first point of contact for visitors and provide essential administrative support to ensure smooth office operations. The ideal candidate will thrive in a fast-paced environment and possess excellent multitasking capabilities.
Responsibilities:
• Welcome and assist visitors, clients, and applicants while ensuring proper security protocols are followed.
• Manage conference room schedules, including setting up rooms, coordinating catering services, and arranging necessary equipment.
• Handle incoming and outgoing mail, packages, and freight, as well as arrange messenger services when required.
• Maintain office supplies inventory and place orders as needed to ensure adequate stock.
• Respond to insurance-related inquiries and process access requests for building security.
• Collaborate with the landlord and building management to address facility-related needs.
• Utilize Microsoft Office Suite and other software to perform data entry and manage communications.
• Serve as the point of contact for hospitality services, including transportation and reservations for guests.
• Ensure the reception area remains organized, orderly, and welcoming at all times.
• Provide assistance with general clerical duties, such as distributing faxes and handling phone calls.
Requirements
• High school diploma or equivalent education is required.
• Minimum of 2 years of office experience, preferably in a client-facing role.
• Proficiency in Microsoft Office Suite, including Outlook, Word, and Excel.
• Strong multitasking skills and the ability to stay organized in a dynamic work environment.
• Excellent communication skills, both verbal and written.
• Familiarity with security protocols and procedures for visitor management.
• Ability to perform physical tasks such as setting up meeting rooms and managing supplies.
• Previous experience in data entry and general administrative tasks is a plus.
