    Description

    We are looking for a detail-oriented Administrative Assistant to join our team. This long-term contract position offers a hybrid work schedule, combining onsite and remote work. The role involves providing extensive administrative support across multiple teams, ensuring smooth operations and efficient coordination within the department.

    Responsibilities:

    • Coordinate bi-weekly payroll processing for hourly employees, ensuring accuracy and adherence to pay schedules.

    • Develop and maintain monthly desk schedules and calendars for team operations.

    • Create and manage work schedules for hourly employees to meet departmental needs.

    • Send out agency interest forms and maintain updated records in Salesforce during placement processes.

    • Track and update practicum placement documentation, including Employment Based Agreements and Affiliation Agreements.

    • Organize and maintain statistical data after each semester, ensuring records are updated.

    • Prepare training documents, payment memos, and materials for technical assistance programs.

    • Facilitate the distribution of certificates, track attendance, and manage program procedures.

    • Communicate with program participants using prepared templates and assist in developing outreach materials.

    • Support purchasing and documentation processes for training initiatives.

     

    Requirements • Proficiency in managing sensitive and confidential information with discretion.

     

    • Intermediate to advanced skills in software tools such as Canvas, Salesforce, Zoom, Microsoft Excel, Microsoft Word, and Microsoft Outlook.

    • Strong organizational and multitasking abilities to handle diverse administrative tasks.

    • Excellent communication skills for interacting with team members and program participants.

    • Ability to maintain accurate records and update systems with precision.

    • Experience in scheduling and coordinating payroll processes.

    • Familiarity with creating and maintaining documentation for training and placement programs.
