    Job Summary

    The Office of the Associate Dean for Academic Affairs (ADAA) at Michigan Engineering is a dynamic, collaborative environment dedicated to supporting faculty excellence, academic innovation, and fostering a collegial and supportive work environment. This office serves as a key resource for faculty and departments, ensuring that academic HR processes are efficient, compliant, and responsive to the evolving needs of Michigan Engineering.

     

    As an Academic HR Specialist, you will play a vital role in advancing Michigan Engineering's mission of excellence in teaching and research by delivering expert guidance, robust administrative support, and effective communication across a wide range of academic human resource functions. You will interact regularly with faculty, department chairs, department staff, college leadership, and university HR partners, handling sensitive information with discretion and professionalism.

    Responsibilities*

    + Provide high-level administrative support to the Michigan Engineering Executive Committee, including scheduling meetings, preparing agenda items and meeting minutes, and managing the Executive Committee's shared drive and Dropbox folder.

    + Provide oversight to academic departments in the coordination of specific academic human resources activities, including, but not limited to, instructional and research faculty recruiting, leaves and sabbaticals, promotion/tenure and reappointment, and retirement memoirs.

    + Request, collect, and prepare casebook materials for promotion, tenure, and reappointment reviews for instructional and research faculty, as well as coordinate the lecturers' major review and continuing review process. Monitor workflows and follow up with departments, faculty, and central offices to ensure the timely completion of academic personnel actions.

    + Coordinate Provost and Regent Communications on behalf of the Dean.

    + Coordinate recruiting visits with departments and act as a liaison between the ADAA and dual career services offices.

    + Support of the CoE Nominations and Elections Committee.

    + Work with the ADAA to develop and deliver workshops or information sessions for faculty and administrators on faculty recruiting and hiring, promotion and tenure reviews, and other HR topics as needed.

    + Proactively identify opportunities to streamline academic HR processes and recommend improvements for greater efficiency and effectiveness.

    + Initiate ADAA website updates as needed.

    Required Qualifications*

    + Bachelor's degree or equivalent combination of education and experience.

    + Typically, three+ years of administrative experience in an academic setting is necessary.

    + Proficient in the use of Microsoft Office, including Word, Excel, PowerPoint, etc.

    + Ability to manage spreadsheets and databases.

    + Excellent clerical skills, including grammar and proofreading, required.

    + Exceptional attention to detail, with proven ability to accurately review, edit, and maintain records and documentation.

    + Demonstrated ability to prioritize and organize workload and manage multiple projects/processes simultaneously and independently with excellent attention to detail.

    Desired Qualifications*

    + Familiarity with M-Pathways and University HRRIS processes, knowledge of College and University policies and procedures relative to academic human resources, and LEO.

    + Familiarity with the University's promotion and tenure process.

    Positions that are eligible for hybrid or mobile/remote work mode are at the discretion of the hiring department. Work agreements are reviewed annually at a minimum and are subject to change at any time, and for any reason, throughout the course of employment.
