A Brief Overview
The Patient Access Specialist II builds upon the foundational responsibilities of the Patient Access Specialist by providing enhanced scheduling knowledge for complex referral management and advanced radiology scheduling expertise. This role emphasizes float/flex responsibilities, requiring adaptability across multiple departments, including the Emergency Department (ED), Inpatient units, Radiology, and various departments. The Specialist II ensures efficient and accurate patient flow while delivering a superior patient experience and supporting departmental operations.
Essential Functions
+ Advanced Patient Registration
+ Perform comprehensive patient registrations, including verification and updates of demographic information, guardianship, guarantor responsibilities, and insurance coverage.
+ Ensure compliance with hospital and regulatory standards by obtaining and verifying accurate registration documents.
+ Manage complex registration workflows, such as resolving discrepancies in insurance or referral details.
+ Address escalated registration tasks, including In Basket messages and high-priority work queues (WQs).
+ Enhanced Check-In and Check-Out
+ Execute patient check-ins and check-outs with a focus on complex cases.
+ Provide detailed instructions for specialized procedures or appointments and ensure patients are well-prepared.
+ Address and resolve patient concerns related to appointments, wait times, and service availability.
+ Complex Point-of-Care Scheduling
+ Coordinate scheduling for complex referrals, including specialty services and multi-provider appointments.
+ Leverage advanced knowledge of radiology protocols to schedule imaging procedures accurately and efficiently.
+ Collaborate with clinical teams to manage and prioritize scheduling for urgent or time-sensitive cases.
+ Flexibility and Departmental Support
+ Float across various departments to provide coverage, including ED, Inpatient units, Radiology, and various departments.
+ Adapt quickly to diverse workflows and systems in different areas of the hospital.
+ Support high-demand areas during peak times or staffing shortages, ensuring seamless operations.
+ Advanced Customer Service
+ Uphold and exemplify Children’s Nebraska customer service standards in all interactions.
+ Act as a resource for patients with complex scheduling or registration needs, offering tailored solutions.
+ Proactively address patient inquiries related to specialized services, referral requirements, and procedural preparations.
+ Collaboration and Communication
+ Serve as a liaison between clinical teams and administrative departments to ensure efficient patient flow.
+ Actively participate in interdisciplinary meetings to address scheduling challenges and improve processes.
+ Mentor and assist junior team members in handling escalated or complex scenarios.
+ Compliance and Advanced Documentation
+ Maintain strict confidentiality and adhere to HIPAA and hospital policies for all patient interactions and documentation.
+ Ensure accurate and detailed documentation of complex registration, scheduling, and check-out activities in the EHR.
+ Assist in auditing records to ensure compliance with regulatory standards.
Education Qualifications
+ High School Diploma High school diploma or equivalent. Required
Experience Qualifications
+ Minimum of 1 year of experience in patient registration, healthcare customer service, or a similar role. Required
Skills and Abilities
+ Proficiency in EHR systems with advanced knowledge of scheduling and registration functionalities.
+ Strong understanding of healthcare insurance, billing practices, and referral processes.
+ Exceptional customer service and interpersonal skills, with a focus on addressing complex patient needs.
+ Ability to multitask and prioritize effectively in dynamic, high-pressure environments.
+ Advanced problem-solving skills for resolving scheduling and registration challenges.
+ Strong communication and mentoring skills for team collaboration and guidance.
Licenses and Certifications
+ Variable shifts, including evenings, weekends, and holidays, as required to meet departmental needs.
+ Frequent floating between departments and flexibility to cover diverse patient-facing areas such as the ED, Inpatient units, Radiology, and specialty clinics.
+ Ability to adapt quickly to different workflows and systems in a variety of hospital settings.
+ Bilingual skills preferred; candidates must pass a bilingual proficiency test to qualify for bilingual pay. Preferred
