ASnapshot of Your Day
As a Procurement Specialist (SAP), you’ll
be responsible for the managing Purchase Orders, be proactive with the
business needs and trainings to improve the procurement teams initiatives,
learning new tools and ways to eliminate waste in the business and make
recommendations to improve the Procurement process. The procurement specialist
will support other teams with purchasing needs, supplier updates and problem
resolution.
8am — Inbox Triage & Urgent Fires
Before the coffee cools, the day often starts with:
+ **Supplieremails about backorders or delays**
+ Internalmessages from operations, logistics, or production saying:
+ “We’reshort on this component…”
+ “Leadtimes got pushed. What’s our workaround?”
+ Quickchecks of **open POs** , shipment ETAs, and any exceptions flagged inthe ERP.
This first hour is all about resetting priorities for the
day—because procurement plans rarely survive first contact with real life.
8:30 AM — Supplier Follow-Ups & Rapid Problem Solving
Once urgent items are identified:
+ Callor email key suppliers for updates.
+ Pushfor earlier ship dates.
+ Negotiatepartial shipments or expedite fees.
+ Validatethat yesterday’s promises are actually happening.
This is where procurement specialists spend a lot of time
being:
+ Diplomatic
+ Firm
+ Creative
+ Tenacious
Not everybody can politely push a supplier while also
holding the relationship together.
10:00 AM — Reviewing Requisitions & Creating POs
With fires temporarily contained, there’s usually structured
procurement work:
+ Checkingnew **purchase requisitions**
+ Confirmingspecs, quantities, part numbers, and vendor assignments
+ Runningsourcing checks if needed
+ Creatingand releasing purchase orders
+ Loggingconfirmations and due dates in the system
Accuracy matters here—one wrong digit can delay an entire
production run.
11:30 AM — Cross-Functional Sync
Procurement sits in the middle of everything, so daily
touchpoints with other teams are common:
+ **Production:** Are we still on track for upcoming builds?
+ **Logistics:** Any customs or freight issues?
+ **Inventory/Materials:** Stockouts? Safety stock breaches?
+ **Finance:** Invoice mismatches or pricing discrepancies?
Procurement specialists translate supplier realities into
internal expectations.
12:30 PM — Lunch (Maybe)
Many days, it’s a “lunch-and-a-laptop” moment.
1:00 PM — Supplier Relationship Management
Afternoons often involve deeper supplier activities:
+ QuarterlyBusiness Reviews prep (performance, cost, quality)
+ Pricingnegotiations
+ Contractreview
+ Vendoronboarding
+ Quotecomparisons (RFQs/RFPs)
This is where strategic procurement happens—finding:
+ Betterpricing
+ Morereliable suppliers
+ Newalternatives
+ Cost‑savingsopportunities
2:30 PM — Data Work & System Updates
Procurement is part detective work, part data management:
+ UpdateERP with confirmed dates
+ Cleanup open PO report
+ TrackKPIs (OTD, cost savings, supplier scorecards)
+ Monitormarket trends like freight costs or commodity prices
This is the “quiet” part of the job—when it's possible.
3:30 PM — Another Round of Firefighting
Late afternoon surprises are a procurement classic:
+ Asupplier pushes out a date by two weeks
+ Ashipment gets stuck at a port
+ Aline‑down scenario appears on tomorrow’s schedule
+ Someoneneeds a part “today”
This is when creative solutions shine—finding local
distributors, expediting alternatives, or reshuffling inventory across sites.
Before logging off:
+ Finalemail checks
+ Ensureall urgent POs are out
+ Prepa quick status update for leadership
+ Setpriorities for the next morning
Procurement feels accomplished on days when the supply chain
stays stable and internal customers are happy—which doesn’t happen every day,
but that’s what keeps it interesting.
A procurement specialist is:
+ Anegotiator
+ Aproblem solver
+ Adata analyst
+ Arelationship manager
+ Afirefighter
+ Acost‑saver
+ Acommunicator
+ Achaos‑tamer
It’s fast, dynamic, and critical to the flow of the entire
organization.
