Compliance Specialist

Job Hours: Mon to Friday, 7:30 AM to 4:30 PM or 8 AM to 5 PM

Salary: $20-$22/hr

General Description: The Compliance Specialist will support the leadership of Compliance functions at Feldco by executing a variety of strategic daily and weekly tasks. This role involves close collaboration with leadership, internal teams, and external parties to facilitate the timely and accurate acquisition of Homeowner Association (HOA) approval for ongoing projects and permit procurement in assigned markets. The Compliance Specialist will be a key liaison between Feldco and local HOAs, working to build strong relationships and ensuring that any issues are quickly resolved. The role requires a proactive approach, attention to detail, and a willingness to adapt as the needs of the business evolve.

General Expectations:

+ Serve as the primary liaison between Feldco, municipalities, and HOA associations within your market.

+ Build and maintain strong relationships to support efficient permitting and HOA approval processes.

+ Proactively identify and resolve permit and HOA compliance issues to prevent project delays.

+ Adjust responsibilities and hours as needed to support team and leadership needs.

Key Responsibilities:

+ Apply for and secure building permits, HOA approvals, licenses, and related documents on behalf of Feldco

+ Handle Outer Market permit procedures (excluding new markets)

+ Complete required documentation including U-Factors, sales agreements, HOA letters, and Certificates of Insurance

+ Own the end-to-end permit and HOA approval process, serving as the main point of contact with municipalities and HOA associations

+ Perform routine follow-ups with HOA teams, municipalities, sales, administration, and operations on pending approvals or missing documentation

+ Ensure no permit or HOA request goes more than 10 days without an update; secure permits within 14 days and HOA approvals within 30 days

+ Communicate delays or issues promptly and work to resolve holds as quickly as possible

+ Process permit- and HOA-related payments using company credit cards or Accounting-issued checks and maintain accurate transaction logs

+ Maintain and update permit and HOA databases and document all actions in the CRM

+ Utilize systems including Excel, PowerApps, and Google Earth for tracking and recordkeeping

+ Coordinate permit pickups, process received permits, and manage incoming and outgoing documentation

+ Support other Permit Specialists as a backup and assist the Permit & Compliance Manager with reporting, testing, and analysis as needed

Required Qualifications:

+ Strong organizational skills with the ability to manage multiple tasks and deadlines.

+ Excellent communication skills, both written and verbal.

+ Detail-oriented with a proactive approach to problem-solving.

+ Ability to work collaboratively in a fast-paced environment.

+ Familiarity with basic office software (Excel, Google Sheets, etc.) and the ability to learn new systems quickly.

Preferred Qualifications:

+ Previous experience in a permit coordination or similar role.

+ Familiarity with PowerApps or other permit management software.

+ Knowledge of building permits, codes, and related regulations is a plus.
