BAE Systems Real Estate and Facility Operations has an immediate opening for a highly motivated Administrative Assistant.

     

    We are seeking a highly skilled, motivated, proactive Administrative Assistant to support our Real Estate and Facilities Operations team. This is more than a traditional administrative role it is an opportunity to be a trusted partner, a problem-solver, and a force multiplies for a dynamic team responsible for shaping where our people and business thrive.     In this role, you will be at the center of the action, ensuring the seamless day-to-day operation of a fast paced, highly collaborative organization. You will leverage your strengths in organization, coordination, and communication to help leaders stay focused on what matters most.

    Responsibilities may shift with business needs and include the following:

    + Provide exceptional administrative and operational support to the Real Estate and Facilities leadership team.

    + Provide confidential administrative and support to directors and their leadership teams.

    + Manage leaders calendars for effective and efficient time management.

    + Schedule meetings and meeting logistics (teleconference, audio-visual equipment, food, etc.) independently.

    + Manage visitor logistics and incoming calls, emails, and meeting requests.

    + Prepare organizational memos given draft inputs from leadership and executes distribution.

    + Works under general direction using business software applications (Word, Excel, Power Point) to create and enhance correspondence, reports, data tables, presentations, agendas, etc., that may be of a highly confidential nature.

    + Organizes and leads preparation of key meeting arrangements such as staff meetings, program reviews, customer meetings and visits, and employee all-hands meetings. May be responsible for special projects such as conferences and events.

    + Arranges business travel and associated expenses, making recommendations to improve efficiencies relative to schedules and budget.

    + Ability to set up systems to promote collaboration among the leadership team SharePoint, Teams channels, meeting spaces, other applications. Desire to learn development, setup, and maintenance of these applications in support of creating a more efficient, connected team.

    + Performs other duties and responsibilities, as required.

    Required Education, Experience, & Skills

    + A bachelor s degree or associate degree and 1 year of experience in an administrative role or a high school diploma plus 4 years of experience.

    + Must be highly skilled in office automation tools, such as the Microsoft Office suite of products

    + Must be able to be proactive, anticipate needs, and work with minimal supervision.

    + This role requires a high degree of tact, diplomacy, discretion, and judgement.

    + Must possess excellent communication and interpersonal skills to interact professionally with employees and external contacts at all levels and including senior management.

    + The ability to multitask and plan and organize in a fast-paced environment is critical.

    + The successful candidate should have a thorough understanding of business practices and procedures, including compliance to company policies

    Preferred Education, Experience, & Skills

    + Bachelor s degree

    + Associate s degree and 1 year experience

    + 4 years of experience

    + Must be able to obtain and maintain a Secret Security Clearance

     

    Pay Information

     

    Full-Time Salary Range: $63454 - $101526

     

    Please note: This range is based on our market pay structures. However, individual salaries are determined by a variety of factors including, but not limited to: business considerations, local market conditions, and internal equity, as well as candidate qualifications, such as skills, education, and experience.
